A Brief Overview

The Clinical Labs Program Coordinator is responsible for the operational, communication and programmatic activities within the Division of Hematopathology in the Department of Pathology and Laboratory Medicine. They are responsible for coordinating and organizing workstreams at both the department level and the individual team level, as well as departmental/team activities that support and span the enterprise. This includes planning, and reporting on multiple and sometimes simultaneous workstreams and activities. Additionally, the Clinical Labs Program Coordinator must be highly organized, and detail oriented with the ability to proactively prioritize across requests and processes, while navigating timelines in a fast-paced environment. This position directly supports the Division of Hematopathology and is responsible for daily operations in the Hematopathology service such as ensuring information for reports are entered and completed, obtaining materials/reports from outside labs and hospitals for consult cases, attending and managing quality conference, scheduling and maintaining the service schedule, pulling cases for conferences and teaching, and making sure slides are properly filed. Administrative efforts are another major component of this job and include scheduling conferences, lectures, mentoring committee meetings and travel, maintaining CVs, educational databases, evaluations, and assisting with presentations and manuscripts. The program coordinator will also play a key role in the fellowship program and work closely with the Hospital of the University of Pennsylvania and other local hospitals in scheduling and onboarding the trainees.

What You Will Do

  • Coordinate and lead multiple concurrent projects ranging in size and scope to meet the objectives of the department under the direction of the Directors and Managers.
  • Coordinate and lead special projects, programs and events for the department and the enterprise; independently produce and implement materials and manage logistics and implementation.
  • Work with Division Chief, Medical Directors, Hematopathologists to support daily clinical activities
  • Support operational initiatives, serving as a conduit between clinical / operational leaders.
  • Ensure and perform quality assurance activities for bone marrow specimens by compiling data from EMR and working with hematopathologists on related quality projects.
  • Manage bone marrow and pathology slides including pulling/sending consult slides, submitting slides for filing/scanning, gathering pertinent patient information, creating and maintaining reports
  • Develop and maintain reports in alignment with strategic initiatives.
  • Provide general administrative support including but not limited to non-traditional personnel onboarding, Faculty mentoring committee work, scheduling conferences, lectures, meetings and travel
  • Additional activities/responsibilities as assigned.

Education Qualifications

  • High School Diploma / GED Required
  • Bachelor's Degree Preferred

Experience Qualifications

  • At least three (3) years health care related experience, previous hospital customer service, administrative and coordination experience. Required
  • At least five (5) years Previous experience in a health care related environment and at least five (5) years of administration, coordination, or program Preferred

Skills And Abilities

  • Advanced knowledge of Microsoft Office Suite including Word, PowerPoint, Excel, Visio, Adobe Publisher/Editor and Photoshop, EPIC, Qliksense, PB Analytics, Poppulo and other work-related software systems. (Preferred proficiency)
  • Excellent organizational and planning skills and the ability to work collaboratively across functional lines.
  • Strong interpersonal, verbal, and written communications skills are required for the successful management of this function.
  • Excellent organizational skills and able to manage multiple projects and implement problem-solving skills.
  • Ethical approach to work and to confidentiality/security of data and datasets.
  • Attention to detail and data accuracy; meticulous.
  • Ability to work independently with minimal guidance, exercising discretion and judgment.
  • Must be adaptable to do work which is varied and requires an intellectual and professional approach.
  • Must be able to communicate at all levels and work with multidisciplinary teams efficiently and effectively.
