What are the responsibilities and job description for the Associate Director - Gift Administration position at Children's National Hospital?
The Associate Director, Gift Administration and Development Services serves as a leader for the Foundation's gift and donor data integrity, process management, and gift processing. The Associate Director, Gift Administration and Development Services will ensure that the Foundation is adhering to IRS guidelines governing gift acceptance and ensure that donations are receipted within 48 hours and that all data entry activities achieve a 95% accuracy rate. The Associate Director, Gift Administration and Development Services will collaborate with finance, data services and other teams to ensure policies and procedures are in place to optimize the quality and integrity of Foundation donor information. This position is critical to maintaining accurate foundation records to support revenue growth, ensure donor confidence, and protect key institutional relationships by facilitating reliable reporting, quality of our donor database, and stewardship.

- Develop and update new processes to streamline work and outcomes for Foundation teams (in particular, 95% accuracy rate and 48-hour gift processing time)
- Meet regularly with departments to review processes and workflows related to data integrity and/or gift processing, and to develop action plans as needed
- Ensures CASE and IRS Gift Acceptance policies are communicated clearly and adhered to
- Highlight discrepancies and inconsistencies with departments and teams for timely resolution
- Develop systems, infrastructure, processes and quality control checks to ensure maximum quality and outcomes of requests
- Review established workflows and processes to ensure process adherence by Foundation departments
- Monitors and reviews accuracy of data entry on a daily and monthly basis and adherence to CASE and IRS gift processing policies
- Assist in the management of the quality assurance process of RE usage
- Reviews language for adherence to donor intent ex: PFP / GA language and gift restrictions to flag for compliance concerns; communicates said concerns with appropriate parties
- Owns and manages the inventory of requests and coordinates with the team, as necessary, to drive tasks to completion
- Works with data reconciliation analyst, finance manager, system administrator and/or other relevant staff to ensure accuracy of database
- Ensures database projects as determined by management are completed by Foundation operations representatives in a timely manner
