Position Summary

The Assistant Director of Public Safety is responsible for providing management and supervision to the Public Safety team as part of the overall Guest Operations. This position is expected to partner with other leaders within Guest Operations, Audience Services, Facilities, and other departments to ensure a safe and welcoming environment for patrons, guests, and employees. This position also serves on the Guthrie’s Health and Safety Committee, bringing safety recommendations and improvements to the committee and the Director of Guest Operations to escalate and address. Primary Duties and Responsibilities

1. Operations Management

  • Assess and lead the overall quality and safety of the guest experience and daily operations of the facility to ensure an excellent experience for all.
  • Create and sustain a safe and welcoming environment for all visitors and staff.
  • Develop and ensure that Public Safety department systems, procedures and practices support effective operations while providing outstanding customer service.
  • Develop, implement, and continually assess Emergency Management and Incident Response plans and protocols
  • Reviews, revises, maintains, and implements the organizations fire prevention, safety, and Public Safety policies and procedures.
  • Provide oversight, direction and management of Public Safety operations, with regular reporting to the Director of Guest Operations.
  • Collaborate with the various teams, including but limited to Guest Services, Audience Services, Facilities, and others in order to ensure the facility is safe, in excellent condition, visually appealing and well-maintained.
  • Ensure the appropriate monitoring of activities on Guthrie property (both inside and outside of the building) which includes periodic rounds of the facility
  • Manage the administration of various Public Safety systems including but limited to fire panel, badge system, cameras, alarm system, etc.
  • Ensure that the Public Safety team maintains appropriate staffing levels.
  • Ensure compliance with all safety and organization procedures.

2. Stakeholder Management

  • Ensure all Public Safety staff are welcoming of any guest and is knowledgeable on all policies, procedures, performances, and building.
  • Foster an environment of team members that is collaborative, forward thinking and values a difference of opinions.
  • Represent Public Safety and Guest Operations in both internal and external committee / task forces / etc., providing feedback or input where appropriate.
  • 3. Financial Management

  • Track expenses and stay within budget allocations.
  • Responsible for payroll administration including approving timesheets and paid time off requests, ensuring accuracy and compliance with policies.
  • Provide labor cost estimates for billing of allocated labor for non-budgeted requests.
  • Complete daily, weekly, and bi-weekly review and approvals of Public Safety employee timesheets to ensure that employees are paid appropriately for worked hours.
  • 4. Leadership and Talent Management

  • Ensure all Public Safety team members are welcoming of any guest and knowledgeable in all policies and procedures.
  • Plan Public Safety team trainings with the Director of Guest Operations to ensure pertinent information is shared with employees.
  • Lead regularly scheduled emergency and evacuation trainings for staff and volunteers.
  • Responsive in cases of emergency, providing leadership and guidance throughout.
  • Lead regular departmental meetings to discuss operational details and logistics.
  • Communicate proactively and effectively across the entire Public Safety team to ensure all team members have the information they need to do their jobs effectively.
  • Supervise and manage Public Safety Supervisor, Lead Public Safety Specialists.
  • Through effective supervision of Public Safety staff, ensure the security of all entrances and exits, opening and closing the facility as needed.
  • Coach and develop Public Safety staff members by monitoring employee productivity and providing constructive feedback.
  • Facilitate conflict resolution among employees and building guests; ensuring adherence to legal and organizational policies and procedures and undertaking disciplinary actions if the need arises.
  • Complete annual performance evaluations for all full-time team members. Curate communication and training that meets a variety of learning styles and schedules in order to create team cohesion across multiple schedules.
  • Create a sense of belonging within the Public Safety team by connecting with team members who work various schedules.
  • Participate in interviewing, onboarding, and training new Public Safety staff members.
  • Serve as a member of the Health and Safety Committee to identify safety concerns and work collaboratively on emergency procedures, workplace safety and other relevant topics.
  • Conducts inspections to identify fire, safety, and security risks; recommends and implements solutions.
  • Review Incident Reports and sensitive CCTV footage, using discretion and confidentiality to resolve matters or share with appropriate stakeholders.
  • Maintain key relationships with local law enforcement, parking ramps and neighborhood organizations. At the direction of the Director of Guest Operations, coordinates with local law enforcement and safety staff as required to support and / or conduct investigations.
  • 5. Strategy Management

  • Work with Director of Guest Operations and Assistant Director of Guest Services to foster an environment for team members that is collaborative, forward thinking and values a difference of opinions.
  • Support and implement organizational priorities throughout the Public Safety department.
  • Foster a work environment that clearly supports the organization core values artistic excellence, community, diversity, equity, inclusion and accessibility, and fiscal responsibility.
  • Uphold the Guthrie value of DEIA by implementing recommended strategies, policies, and trainings throughout Public Safety.
  • Ensure support of Guthrie mission, messaging and implementation of policies and procedures.
  • Requirements

    Essential Knowledge and Qualifications

  • Demonstrated experience managing, leading and supervising a team.
  • Experience in a public facing non-profit environment preferred. Experience leading teams in a performing arts organization strongly preferred.
  • Collaborative mindset to effectively to achieve common goals, be a strong team player, and to contribute energy, creativity and enthusiasm to the department.
  • Demonstrated experience in Emergency Preparedness, Occupational Health and Safety and / or Public Safety management.
  • Ability to efficiently and effectively resolve issues for internal and external customers, frequently in a time-sensitive environment.
  • Prior experience responding to a wide variety of requests for emergency and non-emergency assistance in appropriate manners.
  • Aptitude to maintain a sense of perspective to resolve problems affecting critical processes and impacting large numbers of staff.
  • Skill in communicating effectively and persuasively in oral and written communication on an interpersonal or group level.
  • Capability to handle confidential information in a professional manner.
  • Excellent organizational skills with the ability to work in a collaborative environment, prioritize and manage multiple, ongoing projects.
  • Strong problem-solving skills with a flexible mindset.
  • Forward thinker, using creative and innovation for solutions, to improve systems, process and future planning.
  • Working knowledge of nonprofit, performing arts organizations and their various constituent relationships, interactions and transactions.
  • Ability to stand, stoop or walk for long periods of time.
  • Proficiency with Microsoft Office Products (Word, Excel, PowerPoint).
  • Must be willing and able to work flexible hours / days reflective of the dynamic schedule of a theater.
  • Experience, ability, and commitment to working with individuals and teams that are mixed across lines of difference such as race, gender-identity, sexual orientation, religion, ability, age, class and immigrant status.
