Summary

The Administration Director is responsible for overseeing the administrative operations of Choggiung, Limited, ensuring efficient office management, compliance with corporate policies, and support for leadership.  This role will plan, lead, direct, develop and coordinate the policies, activities, and staff for the company’s administrative services and department, ensuring legal compliance of human resources, administration programs, and overall administrative support operations for the organization.  Responsible for all daily administrative and human resources functions, ensuring accurate record keeping, timely annual performance management, benefits administration, training and development, and employee relations. This is a senior (director) level position that will require a strategic mindset, a hands-on approach and high degree of professionalism supporting the organization’s Executive Team, Department Managers, staff, Board of Directors, and subsidiary companies.

 

Essential Responsibilities

·         Serves as primary contact for all administrative and HR programs and functions

·         Oversee the administrative functions of the corporation, including office management, records management, and internal processes

·         Oversee HR functions such as recruitment, onboarding, training, benefits administration, and performance management

·         Ensures compliance with corporate bylaws, policies, and state/federal regulations

·         Collaborates with CEO, CFO, and subsidiary leaders on the development and execution of all administration and people initiatives and strategies, including policies, organizational/individual development, talent management, staffing, employee relations, compensation, and practices to promote risk awareness and a compliant environment.

·         Works with management and employees to develop and maintain policies, procedures, and practices to promote risk awareness and compliance with corporate mission, federal, state, and local regulations, and laws.  Recommends best administrative and HR practices; reviews, interpret, and modifies policies to ensure compliance with company’s policies, regulations, and guidance.

·         Plans and executes human resource and administration activities; liaise with senior management to understand the organization’s needs and assist in building strategic plans

·         Drafts and distributes reports, analyses, and other data and presentations to company stakeholders and when required, to regulatory and government agencies

·         Maintain knowledge of trends, best practices, regulatory changes, and new technologies related to business administration, human resources, talent management, and employment law.  Applies knowledge to communicate changes in policy, practice and resources.

·         Coordinate, plan and attend periodic meetings with Executives, Board of Directors, department heads and appropriate staff

·         Ensures the organizations compliance with applicable health, safety, and other compliance certification and licensing requirements

·         Develop and utilize historic information; provide retrieval of information.  Prepare meeting agendas and associated documentation; record meeting discussions and provide minutes as appropriate.

·         Perform minor accounting duties such as payroll functions, monthly and annual reporting, budget preparation, and compensation research

·         Support payroll functions

·         Serves as a business resource for Choggiung, maintains business contacts, databases, etc.

·         Manage Choggiung records as per the approved retention schedule.

·         Manage consulting agreements as needed

·         Assist with budget preparation and coordinate finances

·         Responsible for training and supervising staff

·         Other duties as assigned.

 

Minimum Qualifications

·         Bachelor’s Degree in Business Administration, Human Resource Administration, or equivalent four-year degree from an accredited university

·         At least ten (10) years’ experience in office and business administration, human resources, five (5) of which must be in a supervisory role

·         Relevant course work may be substituted for experience on a year-for-year basis.

·         Experience in payroll, accounting, or other financial functions

·         Must have excellent written/verbal communication skills and strong interpersonal/organizational skills

·         Ability to work under pressure and handle multiple tasks with multiple functions

·         Strong analytical and problem-solving abilities

·         Advanced MS Office experience

 

Preferred Qualifications

·         Advanced Degree in Human Resources, Business Administration, or pertinent certifications

·         Choggiung shareholder, descendant, or spouse (in that order).  Shareholders are encouraged to apply.

·         Experience working with ANCSA corporations, boards, or tribal enterprise

 

Working Environment and Physical Demands

The physical demands described here are representative of those that must be met by an employee to perform the essential responsibilities of the position.

  • Frequently required to sit for long periods of time
  • Frequently required to read small print found on financial documents, research materials, computer screens, etc.
  • Occasionally required to lift objects of no more than ten pounds
  • Work may be based in Anchorage and/or Dillingham as business needs dictate
  • Approximately 10% travel time anticipated
  • Occasionally required to travel in small aircraft
