What are the responsibilities and job description for the Program Support Specialist PT position at Choices CCS?
Program Support Specialists provide administrative and specialized assistance to various Choices programs. The incumbent will support and uphold a commitment to racial and ethnic equity and antiracism.
Essential Duties and Responsibilities
- Plans or assists with planning for meetings and special events such as trainings, retreats, workshops, conferences, and holiday celebrations.
- Greets all visitors in a friendly and professional manner with the intent to assist with needs.
- Maintains records and databases specific to assigned area.
- Manages meeting room availability using the Outlook Calendar.
- Shares responsibilities for quality assurance by ensuring all information managed is accurate, timely and complete. Identifies any exceptions and leads corrective steps to remedy issues quickly.
- Assists administrative and program staff with various administrative duties, including projects and large mailings which will require the ability to use the mail merge function in Word.
- Staffs the reception desk and the company telephone.
- Manages the badge making process for all Choices staff. This includes mailing these to the offsites.
- Ensures conference rooms, kitchens, employee break rooms, and other shared space is kept clean, stocked and organized.
- Manages office supplies and products by ordering, stocking, and organizing inventory.
- Schedules and supervises maintenance and repair of office equipment.
- May travel off-site to purchase supplies, assist with special events, or similar duties.
- Manages and coordinates requests for promotional items to include swag request, printing program brochures, and handouts.
- Sorts, and distributes incoming mail daily and uses the postage machine to meter/stamp outgoing mail.
- Maintains and coordinates delivery dates with service vendors such VRC Shredding; Canteen Vending Company, Securitas, Sharp, Orkin Pest Control, and other routine deliveries.
- Models Choices values and guiding principles with internal and external customers.
- Willingly completes other duties as assigned to advance the mission of Choices.
Qualifications
- High school diploma or equivalent required. Degree preferred.
- Minimum of two years’ experience working in an office environment providing administrative support.
- Strong communication and writing skills.
- Highly organized and detail oriented.
- Access to reliable transportation. If driving an automobile while on company business, must possess a valid driver’s license in state of residence and auto insurance.

- Effectively communicate to various internal and external audiences in both person and through various electronic media.
- Manage time and work effectively with minimal supervision.

Hourly Rate: $21.00/hr
