Job Title : FACILITIES AND FLEET DIRECTOR
Reports to : Chief Operating Officer (COO)
Starting Salary Range : $65,000 - $75,000
Type of Position : Full-Time, Exempt
Position Summary :
The Facilities and Fleet Director will oversee all aspects of the organization’s facilities and fleet, ensuring that all assets are well-maintained, operational, and compliant with relevant standards. This role will manage day-to-day maintenance operations, including coordinating repairs, preventative maintenance programs, and vendor relationships, while also contributing to long-term fleet and facility strategy, including asset planning and financial management. The position will be responsible for managing budgets and inventory, financial reports, inspections, and work order systems, with a focus on efficiency and safety and ensuring all processes align with strategic organizational goals.
Duties and Responsibilities (not all inclusive)
- Oversee comprehensive maintenance and repair programs for facilities and fleet
- Ensure effective and efficient operational processes designed to safeguard and maintain assets
- Manage facility and fleet software and reporting functions
- Oversee the financial aspects of property and fleet management, including developing and managing budgets, cost analysis, reporting on financial performance, etc.
- Work closely with senior management and other departments to ensure smooth operations of facilities and vehicles, streamline processes, and ensure compliance with policies, procedures, regulations, etc.
- Foster strong relationships with contractors, vendors, etc. to ensure quality work and competitive pricing
- Assist with long term strategic planning and preparation of building plans and proposals
- Manage building projects, leases, asset / equipment inventories, utility services, etc.
- Lead the planning, purchasing, and disposal of fleet vehicles, ensuring the appropriate number and types of vehicles are available to meet the organization's needs
- Coordinate regular inspection of facilities and fleet to ensure all assets are compliant with regulatory and safety standards and are properly maintained, including regular onsite inspections by program staff
- Coordinate staff training related to facilities / fleets with trainers
- Coordinate fuel purchasing and fuel management processes with finance and other key stakeholders
- Compile data for reports regarding fleet / facility metrics, operations, repairs, and maintenance
- Supervise and mentor staff, providing guidance and motivation to ensure high performance
- Ensure compliance with policies, industry standards, federal and state regulations, accrediting agency requirements, grant requirement, etc.
- Actively participate in compliance reviews, audits, grant submission, and related activities
- Maintain knowledge of developments, trends, and best practices in facility / fleet management
- Maintain knowledge of industry trends, regulatory changes, agency compliance requirements, etc.
