Billing Specialist: Full-Time
Job Summary
As a Billing Specialist at Choices Psychotherapy, you will play a crucial role in ensuring the smooth and efficient financial operations of our outpatient clinics. Your primary responsibility will be to bill insurance claims in a timely and accurate way, allocate insurance and patient payments, and manage patient accounts. This position requires a strong understanding of medical billing and coding, excellent attention to detail, and the ability to provide exceptional customer service to patients. This position interacts on a regular basis with our psychiatrists, therapists, administrative staff, insurance companies and requires effective verbal and written communication skills.
Primary Responsibilities:
· Prepare and submit insurance claims accurately and in a timely manner
· Review and verify the accuracy of patient billing data, including diagnoses, procedure codes, and required modifiers
· Monitor and follow up on unpaid claims, denials, and appeals
· Manage patient accounts, including posting charges, payments, refunds and adjustments
· Provide clear and concise explanations of billing inquiries to patients and providers
· Assist patients with understanding their insurance benefits and financial responsibilities
· Verify patient insurance coverage and eligibility prior to appointments
· Coordinate with insurance providers to resolve coverage issues and discrepancies
· Coding Compliance:
· Ensure that all billing and coding practices comply with current healthcare regulations and guidelines
· Stay up-to-date on changes in coding and billing regulations
· Identify opportunities to improve revenue cycle processes and reduce billing errors
· Record Keeping and Documentation:
· Maintain accurate and organized records of patient accounts, billing transactions, and correspondence
· Prepare and maintain reports related to billing and accounts receivable
Administrative Responsibilities:
· Greet clients and other visitors to the clinic
· Check in clients for scheduled appointments and ensuring all required forms are completed when necessary
· Collect co-pays and balances due on account and record payments made
· Schedule and maintain appointments for patients and clients, including first time appointments
· Answer incoming phone calls from multi-line phone system and direct calls as necessary
· Reminder notifications for all first-time appointments
· Conduct phone screenings with new or return clients to gather necessary information and enter information into computerized database
· Create and send email communications as needed to inform team/providers of changes/issues
· Maintain cleanliness in client waiting area; restock beverage station, tissues and client reading materials
· Distribute, respond to, and send faxes as needed
· Attend weekly administrative team meeting
· Responsible for opening and closing the clinic and administrative office at all locations when required
· Other duties as assigned by the Clinic Manager and Executive Director
· Regular and reliable attendance
Required Qualifications:
· Post Secondary Education
· 2 years of experience in outpatient clinic billing and/or behavioral health
· billing
· Proficiency in medical billing software and Electronic Health Records (EHR) systems
· Experience with Procentive is desirable
· Solid knowledge of medical terminology, CPT, HCPCS, and ICD-10 coding
· Knowledge of healthcare compliance and HIPAA regulations
· Must be available to work onsite full time (Bloomington, Minnetonka, and Chanhassen locations)
Other Qualifications:
· Must be able to work 40 hours per week (Monday-Friday)
· Must be able to work at office locations; Chanhassen, Minnetonka and Bloomington
· Experience with Procentive (or other Electronic Medical Records system such as TheraManager/DocuTrac) and Dr. First are helpful
· Experience in a mental health clinic setting
Pay:
· Position is full time. Pay is based on experience.
· Salary range of $45,760 - $52,000 per year.

Salary : $45,760 - $52,000
