Position: Administrative Assistant
Location: Bethlehem, PA
Pay Range: $17.00 to $20.00 per hour
Job Type: Full-time
POSITION SUMMARY:
The administrative assistant duties revolve around managing and distributing information within the office: answering phones, taking memos, and maintaining files. This role is responsible of sending and receiving correspondence, as well as greeting clients and customers assisting in daily office needs and managing the agency’s general administrative activities. This position will foster a HUMANE atmosphere within the Front Desk Operations as well as the entire organization.
PRIMARY DUTIES:
- Interacting with Foster Parents and organizes daily family visits and attendance
- Answering phones in a professional manner and routes all incoming calls/takes messages
- Ensuring On-call Messages are emailed daily and forwards telephone to answering service nightly
- Notifying the Business Office that cash or checks have been received and are ready for pick up/ delivery
- Responsible for taking payments and managing the daily cash reconciliation
- Assembling Marketing Packets, Manuals, Meeting Information Packets
- Responsible for scanning and saving client files
- Assisting with the coordination of special projects as requested and preparation of documents
- Composing/typing letters, reports, forms, envelopes
- Making certain that the front desk, reception area(s) and common area(s) are clean and orderly
- In charge of ordering office supplies for various office locations
- Documents time worked accurately
VEHICLE REQUIREMENTS:
- Current driver’s license, driver registration and a functional vehicle
- Telephone: Cellular - Multi-line, Calculator, Copier, Fax, Credit Card Machine, Postage Meter, Computer and
COMPUTER SOFTWARE APPLICATIONS:
- Has working knowledge and experience with each program (Microsoft Word, Excel, and Outlook).
Individual must be able to meet physical requirements of the job
- Sitting at a meeting table or desk, reaching, lifting, bending, standing, stooping, twisting, climbing steps, driving
of calculator and computer keyboard
ACCIDENT, HEALTH HAZARD AND SECURITY KNOWLEDGE
- Bloodborne Pathogens, Right – To- Know, HIPAA, Security Acts, Fire & Safety, First Aid/ CPR
- Environment(s) is modern, well-lit office facilities in multiple locations.
- Multiple levels of stairs with access
- High School Diploma or G.E.D.
- Working knowledge of office equipment and proficiency in MS Office
- Excellent written and verbal communication skills
- Associates Degree
- Two (2) to five (5) years experience in administrative support position
- Maintains and abides by OSHA requirements and guidelines
- Observes all Fire and Safety Policies and Procedures
- Observes all Personnel Policies and Procedures
- Observes all Residential Policies and Procedures
- Observes all DHS BHSL, ODP, and OMHSAS Regulations
- Observes all HIPAA Policies and Procedures and maintains confidentiality
- Attends all required and scheduled trainings and meetings
