Summary/Objective
The Executive Assistant will handle a variety of responsibilities that facilitate the efficient operation of the organization and support the daily needs of the executive team.
Key Responsibilities:
- Calendar Management: Schedule and coordinate appointments, meetings, and travel arrangements for executives, ensuring they are well-prepared and organized.
- Communication Support: Act as the primary point of contact between the executives and internal/external stakeholders. Manage emails, phone calls, and correspondence, ensuring timely responses.
- Meeting Coordination: Prepare agendas, type notes, and ensure action items are followed up on. Help with meeting room arrangements, lunch and materials.
- Travel Management: Organize travel itineraries, book accommodations, and manage expense reports for executive travel.
- Document Preparation: Prepare and proofread documents for executives, ensuring they are polished and professional.
- Confidentiality & Discretion: Handle sensitive information with a high level of confidentiality and professionalism.
- Office Management: Support office operations, including supplies, equipment, and facilities management.
- Mail: Sort and distribute US Mail and Inter-co Mail.
Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 4:30 p.m.
Preferred Education and Experience
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong proficiency with office software, such as Microsoft Office Suite (Word, Excel, PowerPoint), and communication tools (e.g., Zoom, Teams).
- Bachelor's degree or equivalent work experience preferred.
