JOB SUMMARY :

The Medication Inventory Control Specialist is a pharmacy technician or nurse responsible for overseeing and managing medication room inventories across Christ Community Health Services Memphis clinics (Broad, Frayser, Hickory Hill, Orange Mound, Raleigh, Third Street, School-Based Health Clinics, and Operation Outreach). Frequent travel to multiple clinics is a daily requirement, as this role focuses on the ordering and receiving medications, intrauterine devices, and vaccines so that clinics are appropriately and sufficiently stocked. The Medication Inventory Control Specialist will work closely with medical staff, pharmacy staff, as well as with various members of administration to prevent inventory overstock and drug waste, and streamline inventory levels to ensure medication rooms are stocked efficiently and cost effectively. Additionally, the Medication Inventory Control Specialist will be required to assist Christ Community Health Services pharmacy staff with inventory management and controlling pharmacy stock.

MAJOR DUTIES AND RESPONSIBILITIES :

Medication Room Inventory Management :

  • Ensure appropriate amounts of medications, intrauterine devices, and vaccines are ordered on a weekly basis to prevent shortages and overstock in the medication room
  • Utilize reporting in eClinicalWorks (eCW) to analyze medication room stock and determine appropriate drugs and vaccines to order.
  • Travel to each Memphis clinic location to perform weekly inventory audits, adjustments, and to receive medication room orders
  • Enrollment and utilization of the Tennessee Immunization Information System (TennIIS) to access Vaccines for Children (VFC) ordering
  • Serves as primary VFC contact for all clinics.
  • Train secondary VFC contact to handle questions / concerns if Medication Inventory Specialist is not available.
  • Maintain accurate inventory records weekly and monthly as necessary
  • Perform timely inventory reconciliation and clearly address discrepancies with clinic staff and pharmacy administration.

Pharmacy Inventory Management :

  • Assist pharmacy staff with managing and maintaining the inventory of medications, restocking shelves, and returning expired medications
  • Monitor stock levels and expiration dates to ensure optimal supply of medications
  • Conduct regular audits with pharmacy managers to reduce overstock and to identify discrepancies
  • Maintain accurate inventory records through utilization of pharmacy software system, PioneerRx
  • Coordinate with pharmacy staff to place orders and anticipate inventory needs
  • Administrative

  • Schedule and attend regular meeting with medical operations, finance, and pharmacy departments to keep them abreast of problems or trends
  • Coordinate to create realistic goals and timelines for medical and pharmacy teams to achieve finance and operational goals
  • Attend annual VFC conference if applicable.
  • Pharmacy Workflow :

  • Assist pharmacy staff with general pharmacy workflow and tasks in the event pharmacy technician coverage is needed
  • Accurately enter prescription drug data into pharmacy operating system
  • Processing patient transactions, including ringing up purchases and handling payments
  • Communication :

  • Treats patients, co-workers, clinic staff, and external customers in a respectful and confidential manner.
  • Able to respond to patients, co-workers, clinic staff, and external customers’ requests in a courteous and timely manner
  • Understands and adheres to patient confidentiality practices and procedures, and will hold themselves accountable to ensuring patient privacy.
  • Regulatory / Record Compliance :

  • Engages in quality assurance activities to support clinical operations and patient care.
  • Accurately document required information into the electronic health record in an efficient and timely manner to support seamless patient care
  • Other Duties as Assigned :

  • Performs other clinical and pharmacy duties as assigned to accommodate reasonable needs of the patients and the department provided duties to meet practice norms and legal regulations / standards
  • EDUCATION AND / OR EXPERIENCE :

    Requirements :

  • High School Diploma or GED
  • Tennessee state Pharmacy Technician licensure in good standing
  • Pharmacy Technician Certification (PTCB or equivalent) in good standing
  • Strong knowledge of pharmacy calculations and sig codes, and commonly prescribed medications
  • Valid Tennessee drivers license along with reliable transportation
  • Minimum of 1 year as a Christ Community Health Services pharmacy technician or equivalent
  • Desired Experience :

  • Proficiency with eClinicalWorks highly preferred
  • Experience in inventory management, preferably in a medical, pharmacy, or healthcare setting
  • Strong knowledge of commonly stocked medication room vaccines and drugs
  • Working formal knowledge; equivalent to an Associate’s Degree
  • Preferred Bachelors and / or post graduate degree
  • 5 years work experience in a retail and / or hospital pharmacy setting
  • Skills and Abilities :

  • Proficiency in Microsoft Office programs (Microsoft Teams, Word, Excel, Outlook, etc.)
  • Advanced verbal and written communication skills and the ability to present information effectively to clinic and pharmacy staff
  • Excellent organizational and time-management skills
  • Ability to adapt to the needs of evolving

  • WORKING CONDITIONS / PHYSICAL DEMANDS :

    Work is performed in a clinic setting. Travel to Christ Community Health Services’ clinics in the Memphis area is required. Physical demands include being required to walk throughout the clinic, pharmacy, and patient areas for extended periods of time, lifting items up to 20 pounds, experiencing long periods of sitting and standing, and frequent use of computer, keyboard, and phone.

    INCLEMENT WEATHER POLICY

    In the event of inclement weather, the Inventory Control Specialist will be expected to provide support to clinic and / or pharmacy staff virtually. Appropriate equipment will be provided in order for tasks such as inventory monitoring, tracking stock, prescription data entry, etc. to be performed remotely.
