Principal Function
The Administrative Assistant, in cooperation with the Pastoral Staff, will oversee the administration of the church. The Administrative Assistant will facilitate the ongoing administrative needs of the church. The AA is the central hub of communication for Christ the King. As such, the AA needs to provide support for pastors, staff, officers, and congregants as outlined below. The AA also is often the first point of contact with the public and needs the ability to represent Christ the King and its mission well. The Administrative Assistant must be able to carry out their assigned tasks in a manner that is consistent with the vision and mission of the church and in the spirit of the Gospel.
Coordinate and Publish Church Communication
- Compile/publish weekly e-newsletter, bulletin, and other church-wide communication
- Create graphics for upcoming events and ministry needs in Canva
- Manage/organize church schedule and various calendars, mail, e-mails, phone calls, etc.
- Maintain church database in Planning Center including the directory, services, church center app, life groups, and the check-in system
- Create & maintain the ProPresenter Slides for gathered worship
- Respond to emails and calls to the office within 24 hours during the normal workweek
Support Pastors, Staff, and Ministries
- Utilize Monday.com Work Management Software for coordinating the completion of ministry needs of the staff and the office in a timely manner.
- Coordinate Sunday morning ministries such as liturgists, communion prep, communion servers, nursery volunteers, Children’s Worship volunteers
- Support and help staff to coordinate all ministry events
- Ensure that any financial information received are securely scanned and uploaded
- Maintain office files (paper and electronic) as they pertain to finances
- Support Human Resources by coordinating paperwork for new hires & information changes
- Support deacons with church members who need assistance and care
- Support deacons by communicating needs in the building, scheduling inspections, etc.
- Serve as first point of contact while assisting the deacons for scheduling the building custodian, facilities requests, managing the building calendar, scheduling inspections, etc.
- Maintain Church Supplies such as photocopying and postage, cleaning supplies, paperware, coffee, kitchen supplies, etc.
- Initiate ways for the administrative duties be completed with increased efficiency
- Maintain a neat and clean office & kitchen
Points of Policy
- This is a part-time position, working 24 hours per week
- The pay range is between $13-$20 per hour based on experience.
- The working hours are Monday-Thursday from 9:00am-3:00pm.
- The Administrative Assistant will coordinate with pastors and volunteers to ensure sufficient coverage during any absence.
- The Administrative Assistant will meet regularly with pastors for dialogue on job performance and tasks.
