Job Description
Scope
The Elementary School Administrative Assistant works efficiently and with a service oriented attitude to maintain a supportive and professional environment. The School Administrative Assistant provides support for the administration/faculty.
Qualifications
The candidate shall possess characteristics that reflect:
- A strong clear Christian testimony with a mature and godly spirit
- A daily example of the highest Christian virtue both in and out of school
- Commitment to faithful attendance and support of a church whose beliefs are in agreement with the Statement of Faith for Christian Academy
The ideal candidate shall possess:
- Proficiency in MS Office Suite
- Effective interpersonal and communication skills
- Switchboard Knowledge preferred
Accountabilities / Responsibilities
- Maintains permanent records
- Schedules admissions interview appointments
- Creates needed communication to parents
- Maintains and coordinates multiple school calendars: Principal, Assistant Principal, room usage, conference room, activities
- Creates and maintains all records and communication regarding student attendance: daily attendance, weekly Powerschool reports, daily tardy reports and parent letters as needed
- Serves as liaison between staff and technology
- Demonstrates an understanding of Powergrade and Powerschool
- Prepares school certificates and programs
- Types handbook and curriculum revisions
- Provides coverage for the receptionist desk at lunch, breaks and busy periods
- Maintains office equipment and orders and distributes office supplies
- Maintains copy room: paper, toner, organization of printed materials to ensure confidentiality
- Assigns and inventories room keys
- Oversees outgoing mail
- Oversees prompt pick-up and delivery of interoffice mailings
- Receives, inventories and distributes all deliveries
- Creates monthly copy machine report
- Processes and maintains field trip information
- Provides clerical support to school staff: photocopying, filing, faxing, etc.
- Maintain confidentiality of privileged information
- Maintain a knowledge of school rules and procedures
- Communicate effectively using courtesy, tact and discretion
- Demonstrate initiative by recognizing the needs of the job and suggesting ways to improve efficiency
- Exhibit poise and control in decision making and problem solving
- Serve as Elementary School point of reference
- Independently compose a variety of materials: letters, memoranda, announcements, bulletins, newsletters and reports

Reporting Relationship
The Elementary School Administrative Assistant shall be accountable to the Elementary School Principal.
