Christian County is now accepting applications for a full time Executive Assistant for the Sheriff. The Executive Assistant completes a broad variety of administrative tasks for the Sheriff and Operations Division Commander including but not limited to: sharing administrative duties with other assistants, answering phone calls, greeting the public, and guiding general inquiries; Managing mail and correspondence for the Sheriff; Assisting with documentation and report distribution to command staff, offices, agencies, schools, and businesses; Maintaining the Sheriff’s calendar, including travel arrangements; Acting as a liaison with the Synergy Drug Treatment facility for placements; Managing purchase requests, invoices, and vendor relationships using Tyler system; Scanning, labeling, and filing agency documents and records; Collecting and tracking financials using spreadsheets/QuickBooks, and working with the Treasurer’s Office on ACH transactions; Handling asset forfeiture, reporting, and eShare revenue monitoring; Managing monthly vouchering and reporting according to ATF regulations; Preparing the Sheriff’s annual budget and entering data into ClearGov; Tracking and reporting on equipment/vehicle assessments and insurance claims; Assisting with special events, office milestones, and memberships; Collaborating with other municipalities on contracts and administrative tasks; Drafting correspondence, reports, and acknowledgment letters for the Sheriff; Prioritizing tasks with attention to deadlines and following through to completion; Cross-training with the Operations Coordinator and filling in as needed as well as any other duties assigned as needed.Education/Experience:Education: Must possess a high school diploma or equivalent. Degrees in business or related field preferredExperience: Minimum of five (5) years of administrative/clerical experience.
The Executive Assistant must be highly organized, have strong time management skills and a keen attention to detail. The ideal candidate will possess strong interpersonal skills, enabling them to build relationships with staff. The ideal applicant will have the ability to communicate effectively with diverse groups, work as part of a team and be flexible to changing conditions/priorities while working with multiple projects. The candidate should be capable of following oral and written instructions, procedures, and policies, and should be skilled in operating standard office equipment and using phone and email for communication. Strong computer skills are required with an emphasis in Excel and Microsoft Software. This position must be able to pass an extensive background check and a drug test.
