The Program Assistant is responsible for providing administrative and programmatic support for Running Strong's many programs.
General Administrative Duties - 45%
- Performs administrative-type functions including filing, scanning and copying, assembling materials and publications, arranging travel, and maintaining onsite and offsite inventory of program supplies.
- Maintains Running Strong office supplies inventory.
- Coordinates maintenance and equipment acquisition and maintains office equipment.
- Monitors, receives and processes Running Strong mail.
- Monitors and responds to telephone, written and email inquiries from staff, donors, partners, and members of the public.
- Reconciles Running Strong credit card expenses, collecting and logging receipts each month.
- Drafts and mails monthly Thank You Letters for Running Strong donors.
- Coordinates and takes minutes for Running Strong staff meetings and high-level donor meetings on behalf of the Executive Director.
Cash and In-kind Grant Program Duties - 40%
Provides administrative support for Running Strong's cash and in-kind grant programs, including:
- Answering questions from interested applicants and grant recipients
- Drafting grant letters
- Processing applications for review
- Issuing requests for payment and processing outgoing grants and vendor payments
- Ensuring reporting deadlines are met
- Coordinating in-kind shipments and deliveries with vendors and recipients
- Maintaining accurate in-kind distribution records
- Evaluating in-kind items per audit requirements
- Collecting, organizing, and filing photo and narrative collateral throughout the grant year for the Development team's fundraising and awareness campaigns.
- Maintaining accurate and up-to-date physical and electronic files for programmatic purposes and audit compliance.
Work with staff and partners as needed to monitor Water Connection, Heat Match, and Food programs as needed, including management of applications, processing payment requests, tracking payments, and receiving necessary program reporting.
Intertribal Creatives Program Duties - 10%
Provides support for Intertribal Creatives (ITC) program, including:
- Filling e-Commerce orders including shipping, tracking, returns, addressing customer questions and concerns and evaluating sales performance.
- Keeping detailed management of ITC inventory on and off site. Uploading and managing inventory information in Shopify system.
- Working with Program Manager to promote and market artists & inventory, exhibitions, and ITC other events, as needed.
- *At ITC events only* Operating cash register and POS system, balancing cash register.
Other - 5%
- Attends and/or staffs special events on behalf of Running Strong as needed.
- Some travel required. Travels alone or with other staff for events, to visit program partners, or donors when necessary.
- Other duties as assigned.
MS Office proficiency (Outlook, PowerPoint, Word and Excel) required. Database expertise a plus. Knowledge of Zoom and other virtual communications preferred.
Knowledge of/experience with American Indian communities a plus.
