ADMINISTRATIVE ASSISTANT JOB DESCRIPTION
Christian Youth Theater develops character and creativity in kids of all ages through quality theater arts training that brings families and communities together while reflecting Jesus.
Position: Administrative Assistant
Function: Provide Administrative support for the CYT North Idaho Executive Staff to help run
effective and efficient chapters.
Immediate Supervisors: Executive Director (ED) and Artistic Director (AD)
Job Classification/Hours: Salaried Part-Time Employee Position (20-30hrs per week) $19,240-$29,640.
Qualifications:
- Understands CYT North Idaho’s Mission Statement, Values and Objectives and is willing to incorporate them when performing job-related tasks.
- Has a humble and teachable spirit that is concerned with sharing the love of Christ in word and deed to all affected by the organization.
- A high school diploma required; associate's or bachelor’s degree in administration, business, or a related field preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Calendar). Canva (Optional) Adobe Photoshop, InDesign (Optional)
- Familiar with database management software (e.g., CRM systems, volunteer management platforms).
- Ability to quickly learn new software and systems as required.Additionally, must have:
- Excellent organizational, written and verbal communication skills.
- Strong attention to detail, with the ability to proofread and edit documents as needed.
- Ability to confidently make phone calls and talk with people via phone or in person.
- Ability to track follow-up duties as needed to get job-related items completed.
- Reasonably Accessible by Executives and Staff
- Willingness to learn and the courage to present new ideas.
- Gracious ability to accept correction.
- A “can do” attitude, and pleasant demeanor with excellent follow through.
Provide Administrative support for Executive Staff: to help run an effective and efficient chapter. Including but not limited to:
- Answers Office Voice messages
- Check mail and email
- Forwards general office emails from website, etc, to appropriate staff members
- Gather data from information sources as needed
- Make calls and answers class, camp, box office emails as needed
- Supports staff as needed with all forms/paperwork, teacher/TA & Artistic TeamContracts, Show front of house forms
- Provide Administrative support at Auditions
- Facilitate contracts for teachers, TA’s, artistic team, etc. and follow up that onboardingprocess is complete.
- Maintain organization calendar
- Help facilitate Home School Education Accounts
- Create Gift Certificates as needed
- Support parent meeting process with printed forms and promo flyers
- Maintain & Update Spreadsheets as needed
- Schedule meetings as necessaryPerform office administrative duties as required:
- Upkeep of Copy Machine, rental agreement, paper supply, file receipts,
- Order office supplies as necessary. Maintain organization of office.
- Maintain Files. File Receipts.Assist ED & AD in Marketing of chapter programming & community awareness:
- Assist ED and AD in Community Outreach/ Events/Booths
- Seek out opportunities for advertising CYT North Idaho
- Registration for events and booths
- Secure people to work at booths to represent CYT North Idaho
- Help with Princess Program reservations/Coordinate participants
- With Executive Director publish Monthly Newsletter at the beginning of each month(first Wednesday); work with graphic designer and collaborate with ED and staff for contentAssist Executive Staff in Planning and organizing special events & Sponsor relations:
- Examples Red Carpet, Social/VIP events, sponsor, teacher and volunteer appreciation events, etc.
- Work with Executive Director to create surveys and analyze data
- Assist Executive Director by maintaining a list of show comp codes and distribution tokey stakeholders.
Job Type: Part-time
Pay: $19,240.00 - $29,640.00 per year
Expected hours: 20 – 30 per week
