We are seeking a skilled and passionate part-time Front Desk Coordinator to join our dedicated team. The Front Desk Coordinator will be the first point of contact for our clients, responsible for ensuring welcoming and efficient front office operation. This role involves managing client appointments, handling inquiries, and providing administrative support to ensure the smooth running of the spa.

Key Responsibilities :
Client Interaction :
Greet clients warmly and create a welcoming atmosphere.
Answer phone calls, emails, and in-person inquiries promptly and professionally.
Schedule and confirm appointments using the spa's booking system and communications software.
Manage client flow for a seamless client experience for the start of their journey to the end.
Provide clients with information about services, treatments, and promotions.
Follow up with clients to maintain customer connection and repeat visits to the spa.
Assist in promoting spa marketing and brand awareness.
Administrative Duties :
Maintain client records and ensure they are up-to-date and confidential.
Efficiently manage the check-in and check-out processes, ensuring accuracy in recording services and payments.
Process payments, manage cash drawer, and balance daily financial transactions.
Prepare and update daily schedules for staff and treatment rooms.
Continuously monitor appointment slots to ensure there are no gaps or overlaps in the schedule.
Manage retail inventory and merchandising.
Order office and treatment supplies as needed.
Strong Written and verbal communication skills.
Customer Service :
Address client concerns and complaints with professionalism and escalate to management when necessary.
Follow up with clients post-treatment to ensure satisfaction and address any issues.
Promote and upsell spa and wellness services and retail products to clients.
Sell memberships and high-end packages.
Facility Management :
Perform open or close operations.
Ensure the reception area, waiting room, and treatment areas are clean and tidy.
Coordinate with staff to maintain a high standard of cleanliness and hygiene.
Team Collaboration :
Work closely with the owner, medical professionals, aestheticians, and other staff to ensure seamless client service.
Help meet the team KPI's by assisting staff toward the achievement of established sales goals.
Assist with special events, promotions, and marketing activities as required.
Communicate effectively with management regarding client feedback and any issues that arise.
Cover additional staff duties as necessary.
Qualifications :
College degree or equivalent experience in the spa industry; additional education in office administration or hospitality is a plus.
3 years of high-end retail sales experience
Previous experience in a front desk or administrative role, preferably in a spa or similar environment.
Proficient in computer skills and familiar with scheduling and communication software.
Excellent communication and interpersonal skills. Critical thinking skills.
Strong organizational skills and attention to detail.
Ability to multitask and handle a fast-paced environment.
Proven ability to meet and exceed goals and targets.
