Hourly position - $26 - $28 per hour.
SUMMARY: The Intake Coordinator will serve multiple and overlapping roles at Chrysalis House with liaison duties with the Crownsville clinical, outpatient and residential functions. The incumbent serves as the primary point of contact for incoming inquiries and referrals to the Crownsville residential program and communication with government funders to ensure there is seamless transition to and from the Crownsville residential and all outpatient programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Coordinates admission inquiries to Chrysalis House Crownsville, directs prospective clients to assessment resources at County levels, ensure that funding has been approved by government sources, provides complete information to the Chief Residential Officer for applicant admission determination, and assists in a smooth and efficient transition of new clients to Crownsville.
- Collaborates with the appropriate staff as needed to determine appropriateness of admission.
- Upon client arrival to Crownsville, enters admission data into software system to ensure financial billings can begin immediately for both residential and outpatient clients. Assists in maximizing revenue for organization based on authorizations.
- In collaboration with the Chief Residential Officer, assist in the accurate and timely submission of reauthorizations for clinical and outpatient programs.
- Maintains a client Admission waiting list for prospective residential clients, and an admission and discharge log for residential clients.
- Maintain accurate records per funding source of utilization of contracts.
- Maintain data on key outcomes measures and reports to the organization’s Program Improvement Director on a quarterly basis.
- Attends monthly provider meetings with ASO and reports findings to the Chief Officers and Directors
- Ensures completion of statistical/progress data reports per state/federal regulations and contract requirements.
- Keeps abreast of developments in the field. Attends at least one training session annually.
- Maintains collaboration with the multidimensional CHI treatment team and community partners.
- Promotes monthly outreach to referral sources either by remote contact or in person site visits.
- Stays engaged with candidates during preadmission period to asses their ongoing commitment to enrollment in treatment.
- Effectively communicates goals and expectations to residents using a therapeutic and holistic approach with creditability and confidence.
- Ability to achieve results when confronted with major responsibilities and limited resources; makes decisions that engender the confidence and trust of residents and applicant candidates.
- Exercises sound judgment and integrity in problem solving and decision-making, ensuring such decisions are based on solid facts.
- Skilled in identifying and solving bottlenecks by solving problems before they become critical.
- Promotes quality values throughout the organization by being knowledgeable about the standards and requirements in the field and implementing measures to avoid a recurrence of errors.

QUALIFICATIONS:
- Bachelor’s degree OR (2) years of administrative/program experience.
- Minimum of 3 years’ experience working with individuals with varying forms of substance abuse.
- Strong attention to details.
- High level of organization and time management skills.
- Strong verbal and written communication skills.
- Ability to self-motivate, task driven and able to work independently.
- Intermediate to advance working knowledge of Microsoft Suite, including Word and Excel.
- Strong interpersonal and customer service skills.
- Clean driving record and valid driver’s license
OTHER SKILLS AND ABILITIES:
- Ability to provide genuine warmth, empathy, honesty, sensitivity towards clients to help assist in fostering positive transformation by maintaining a supportive availability to provide additional information to candidates to promote admission to the program.
- Must demonstrate understanding of special treatment needs of women substance abusers in a residential treatment setting and show evidence of empathy, sensitivity, and maturity.
- Must demonstrate highest professional ethical standards and adhere to Chrysalis House Core Values and Code of Ethics.
PHYSICAL DEMANDS:

The employee is frequently required to walk, sit and taste or smell.
