Summary
The Sales and Event Coordinator supports the sales team by utilizing the CRM to manage client data, generate reports, and assist with communication. They also play a key role in the execution of events, ensuring smooth coordination between clients and operational teams. This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Sales Support
· Works closely with National Governing Body (NGB) administrators, collegiate and youth development teams, coaches, event managers, etc. to coordinate the execution of contracts, and invoices and ensure all details of the sale are properly recorded in the CRM system.
· Maintain and update the CRM system with client information, sales activities, and event details.
· Generate reports from the CRM to track sales performance and client engagement.
· Coordinates housing requirements for groups with the Client Experience department.
· Assist with responding to client inquiries, drafting proposals, and preparing contracts.
· Coordinate with the sales team to manage leads and ensure follow-ups are timely and effective.
· Support the preparation of sales presentations and materials.
Event Coordination
· Act as a liaison between the sales team, clients, and operational staff to ensure seamless event execution.
· Assist in planning and organizing event logistics, including setup, vendor coordination, and timelines.
· Attend events to provide on-site support, ensuring client needs are met and any issues are resolved promptly.
· Collaborate with vendors and suppliers to confirm availability, pricing, and services.
Administrative Duties
· Maintain organized records of contracts, invoices, and client communications.
· Manage calendars for the sales and events team, scheduling client meetings and site visits.
· Track expenses related to sales and event activities and submit reports as needed.
· Prepare and distribute post-event reports, including feedback and areas for improvement.
Requirements
Requirements and Experience

· Bachelor’s Degree in sports, business, or related field.
· Experience with events in the sports and entertainment space or similar i.e. hotel and convention sales.
· Customer-focused mindset with the ability to build strong client relationships.
· Problem-solving skills to address challenges efficiently and effectively.
· Team-oriented approach with the ability to coordinate across departments.
· Ability to work collaboratively and adapt to changing priorities.
· Excellent verbal and written communication skills.
· Proficient in CRM software (e.g., Salesforce, Momentus) and Microsoft Office Suite.
· Be at least 21 years of age with a valid California driver's license and has no Class 1 or more than two Class 2 violations within the past 36 months.
· Must foster a professional attitude and demonstrate integrity and flexibility.
· Proven ability to manage a variety of tasks and meet multiple demands in a dynamic, team-oriented environment.
