What are the responsibilities and job description for the Logistics Coordinator position at Chums (UT)?
Position Objective: Responsible for the timely and accurate processing of all EDI customer fulfillment logistics functions for Chums. Daily requirement for sending Advanced Shipping Notices (ASNs) to all required customers. Responsible for understanding and staying up-to-date with all customer routing guides to ensure order processing and routing timelines are accurate as per each individual customer needs Informs carriers daily/weekly for freight pick-up and verifies all shipping paperwork is complete and accurate Prepares and verifies bills of lading. Prepares international export paperwork, which consists of a commercial invoice, packing list, shipper's export declaration and certificate of origin, and maintains up-to-date knowledge of Domestic and International shipping requirements. Works closely with Chums Purchasing and Sales Ops teams to ensure inventory availability for all incoming POs to guarantee on time shipment.
Essential Duties and Responsibilities: Other duties may be assigned
- Responsible for the accuracy & on-time arrival of outgoing customer fulfillment shipments
- Effectively communicate with other departments on a daily basis as needed
- Develop and maintain positive and beneficial relationships with transportation vendors and internal teams
- Coordinates with Order Fulfillment team, Sales department, Inventory & Warehouse Operations Manager in ultimate service of the customer
- Collaborate daily with Warehouse Supervisor and Warehouse Operations Manager to ensure a productive, efficient and safe working environment for all order processing and logistical functions.
- Detects and reports any challenges concerning on-time order shipping or questionable conditions to Warehouse Operations Manager immediately in order to find the proper solution to avoid customer chargebacks and discounts
- Creates accurate shipping documentation including bills of lading, shipping labels, proper UCC stickers, and export paperwork (Commercial Invoice, NAFTA Certifications, AES filing, Harmonized Codes)
- Collects all EDI shipment related paperwork and distributes it to departments accordingly
- Routes all outgoing shipments through a variety of carriers and freight forwarders
- Understand each customer routing guidelines in order to schedule shipments in compliance with all customer routing instructions
- Develop and maintain company relationship with all carriers and necessary freight forwarders
- Process shipping information via EDI portals for EDI customers
- Responsible for researching any shipping related chargebacks in a timely manner and presenting conclusions
- Assist and collaborate with other departments concerning any shipping/logistic related issues
- Maintains accurate records of mistakes and chargebacks and presents reports periodically
- Identifies problems in shipping claims and hands off to accounting for claims filing
- Provides LTL freight quotes and rates to all other departments as needed
- Direct assistance to Warehouse Manager in daily warehouse functions
- Responsible for International shipments & export documents accuracy and processing
- Supports retail order fulfillment (picking/pulling/QC/shipping)
- Responsible for an organized work area and assigned warehouse location in compliance with Chums 5S program
- Maintains current and working knowledge of all used carrier’s & customer requirements
- Trains shipping staff on procedures and processes where applicable
- Assists in counting physical inventory when necessary
Additional Responsibilities
- Provides assistance and acts as backup for all positions in the Order Fulfillment department when available
- Communicates and collaborate with other departments to ensure transactional accuracy
- Maintain metrics on shipping/logistical issues/etc and present to management team during weekly warehouse supervisors meeting
- Assists with cycle counting and inventory
- Maintains an updated and organized vendor/customer files
- Willing and capable of picking up additional tasks as needed
- Maintaining a clean and orderly work area
- Sweeping, dusting, mopping and general tidiness of warehouse as needed
- Wear proper safety equipment and follow all safety protocols
- Provide warehouse with daily morning meeting content when assigned
- Audit warehouse cleanliness via company 5S program when assigned
Knowledge and Skill Requirements
- High School diploma/equivalent
- Must be able to read and write English fluently
- Familiarity with big box retailer routing guide documents and associated forms
- Experience with and working knowledge of international shipping customs forms, NAFTA/CUSMA, AES, and commercial invoices
- Maintain up to date expert knowledge of all carrier contracts, pricing, customer shipping specifications, and EDI processing
- Understand all shipping support items; UCC-128 sticker, optimum box size, freight vendor pricing, specific customer shipping requirements
- Ability to interpret documents such as safety rules, procedure manuals, sales orders, & shipping documents
- Capable of researching any shipping related chargebacks for EDI or LTL items in a timely manner and presenting conclusions in an effective manner
- Ability to communicate clearly and effectively both written and verbal
- Must be willing to collaborate and receive frequent feedback

- Demonstrate ability to work well within a team and with other departments

Technical Skills required:
- Basic math- addition/subtraction/multiplication/division divide in all units of measure for accuracy
- Competent computer skills – with the ability/desire/aptitude to improve
- Excellent knowledge of carrier requirements, software and its uses
- Must maintain familiarity with current carrier contract details to assist and make cost saving recommendations
