JOB TITLE: Appointment Coordinator
JOB SUMMARY
To provide assistance in the policy renewal management process including scheduling renewal or annual review appointments for the account executive. To provide administrative and clerical services to support operations of the office.
SKILL REQUIREMENTS
Occupational Specific: Excellent people and phone skills, computer skills, typing skills, 10-key calculator, multi-telephone system
Technical Specific: E-mail, Internet Explorer, MS Office Suite, Lotus Notes, ability to use agency management system preferably AMS360, Maps or mapping software
Personal & Professional: Attention to detail and accuracy and highly organized, excellent communication skills, listening skills, time management, strong customer service skills, able to work in a dynamic team environment, writing skills.
TASK DESCRIPTION
- Responsible for scheduling and confirming renewal or annual review appointments whether in-person meeting, virtual meeting or phone meeting for assigned agents and coordinating agents &/or account managers schedule including collecting pre-appointment data.
- Document and track all appointment information using spreadsheets, calendar (Outlook and Bookings), mail chimp emails.
- Assist in administrative support services in the office including but not limited to handling incoming telephone calls to direct calls to the appropriate staff.
- Process CM Renewal Offer Form from UW Report and updating the renewal spreadsheet.
- Other duties as assigned (Download processing, Renewal Spreadsheet preparation, Client Portal Setup, Process Renewal Offer Form from UW Report, send Renewal/Annual Review Notice Letter)
EDUCATION & TRAINING REQUIREMENTS
Minimum High School or equivalent or some College preferred.

Customer service or call center background is an advantage.
Physical Duties and Working Conditions:
General office and computer work. Occasional lifting of up to twenty five pounds. Constant standing, sitting, and walking. Occasional twisting, bending and reaching. Ability to listen to and comprehend both written and verbal communication to and from co-workers and clients.
