Job Description
JOB TITLE
- Production Support & Tulsa Services Administrative Assistant
MUST DO
- Support the Production Director and Tulsa Services Director by ensuring administrative efficiency, organization, and leadership within the two environments.
RESPONSIBILITIES
Production Support
- Oversee production administrative duties, including receipts, scheduling, and managing the Production ticket system efficiently.
- Handle correspondence, prepare agendas, and track action items for the Production Director and team meetings.
- Track project timelines and deliverables for successful execution.
- Assist with purchasing, tracking, and maintaining and organizing inventory records for production equipment across locations.
- Assist with purchasing of supplies and consumables.
- Monitor spending to ensure alignment with approved budgets.
- Prepare regular updates, budget reports, and capital expenditure proposals for leadership as needed.
Tulsa Services
- Support the Tulsa Services department with administrative operations, including, but not limited to, copyrights, Rock, project management, emails, scheduling, and event coordination.
- Manage the lyrics database and weekly lyric needs.
- Attend meetings, take notes, and ensure key information is communicated to the appropriate people.
- Ensure Worship projects are organized and completed on schedule.
- Oversee budgets, ensuring all receipts and records are up to date.
- Oversee onboarding for volunteers and contractors.
REQUIREMENTS
- Excellent time management, administrative, and interpersonal skills.
- Ability to organize and execute a wide variety of tasks
- Love for efficient systems and an ability to build them
- Ability to see the big picture while maintaining the ability to pivot quickly
WORK SCHEDULE
- 40 hours, Monday – Friday
