What are the responsibilities and job description for the Ticket Fulfillment Coord (Seasonal) position at Churchill Downs Racetrack?
FUNCTION
The Ticket Fulfillment Coordinator position will work hand in hand with the Ticket Operations and Sales teams while processing internal and external requests for Derby Week, Oaks Day, and Derby Day. Alongside fulfilling ticket orders, the individual will assist with incoming phone calls regarding ticket fulfillment status. This position will give insight into the ticketing process for one of the largest and most complex sporting events in the country. This position will not only learn how detailed the Churchill Downs venue really is, but also collaborate with multiple departments ensuring a successful 151st Running of the Kentucky Derby and Kentucky Oaks.
The position will provide support through the Kentucky Derby (first Saturday in May of 2025), with the potential of other opportunities within the Ticket Operations team through our live racing meet.
SPECIFIC DUTIES AND RESPONSIBILITIES
Job Duties Include:
- Assist with the preparation and packaging of various orders for Derby Week, Oaks Day, and Derby Day. This includes, but not limited to, tickets, parking placards, credentials, and wristbands.
- Manage and tracking of shipments; focus on correct and timely delivery to customers as well as incoming physical assets that require organization and processing in advance of our events.
- Assist customers directly over the phone to answer shipping questions, finalize orders, and other general asks regarding order delivery and/or digital ticket assistance.
- Perform various administrative duties for the fulfillment team. Filing of sign out sheets, email correspondence with internal representatives, excel data sheet reporting, and confirmation of inventory remaining.
- Work on overlapping projects within the Ticket Fulfillment & Ticket Operations team with short deadlines to prepare for Opening Night and beyond.
- Assist with secondary access control testing as needed.
- Other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
This job does not have any supervisory responsibilities.
EDUCATION AND/OR EXPERIENCE:
- High School Diploma/GED required.
- Attention to detail with ability to problem solve.
- Excellent interpersonal and communication skills as well as demonstrated professionalism.
- Ability to multitask while staying organized and exercising sound business judgment in order to generate effective solutions, raising issues to management as necessary.
- Team player mentality with an emphasis on customer service and collaboration.
- Must be able to work flexible hours including some evenings, and race days.
- This position requires completion of a background check.
- An interest towards working in the sports & entertainment industry a plus.
- Previous experience with ticket fulfillment & ticketing a plus.
- Ability to obtain a KHRC Racing License is required.
WORKING CONDITIONS:
- Travel Requirements: Does not require travel outside of Louisville
- Physical Demands: This position requires the ability to lift up to 10 pounds.
- Work Environment: The incumbent primarily works in an office environment, however is expected to attend Churchill Downs race days.
