Basic Function
As a member of the Operations Support Team, the primary responsibility in this role is to provide administrative support to the Processing Department relating to loan file setup.
Responsibilities

Excellent verbal and written communication skills, detail oriented, ability to multi-task, prioritize and manage time in a fast-paced environment. Skilled at working with urgency and deadlines, handling confidential and time sensitive material with professionalism and integrity, ensure turnaround times meet requirements. Ability to identify inconsistencies and problem solve with minimal direction. Excellent customer service skills with the ability to foster positive relationships with customers and co-workers are required. This position requires team player approach, patience, positive attitude, strong work ethic, analyzing skills, reading/proof reading skills, customer service, planning/organization, math aptitude. Microsoft Office Skills required.

Associate’s degree in Business or a related field. (A combination of education/experience and/or training will be considered equivalent to the education listed). 1-2 years related experience or general administrative office experience. Direct experience in the mortgage industry preferred, but not required. Have comprehensive knowledge of state and federal regulations.
Language Ability
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Reasoning Ability
Ability to solve practical problems and the ability to interpret a variety of instructions are required. Understand and support the corporation's policies and procedures to provide proper and effective treatment to all of the corporation's customers.
Computer Skills
Experienced in Microsoft Office (Word, Excel, Outlook, etc.) and company information system applications required. Experience working with CMS software and database and document management, preferred however not required.

Responsibilities

- After file is disclosed, the Ops Support team member will review the file to ensure that 1) meets compliance, 2) borrowers meet program chosen, and all required documents are provided, 3) all initial 3 rd party orders are done.
- All borrower(s) documents are organized in Encompass and placed them in the correct Encompass buckets.
- Have comprehensive knowledge of state and federal regulations.
- Assist Licensed HLS by email them a list of required documentation needed to process the loan.
- Maintain communications with the HLS until the file is submitted to the UW Department.
- Understand and support the corporation's policies and procedures to provide proper and effective treatment to all of the corporation's customers.
- Resolve any customer problems in an expeditious and tactful manner. This is only when the file is in “Application” and “Pending Doc” milestones and the file was officially assigned to the Ops Support Team Member.
- Review and report complaints received from customers and recommend corrective action to management.
- Perform other related allowable unlicensed duties as assigned.
- Inform the HLS of the availability of other persons engaged in the mortgage.
- Provide Management with information unrelated to loan terms, such as the best days of the month for scheduling loan closings.
- Setup new incoming loan files
- Review application and initial documents for completion and accuracy
- Review files for regulatory compliance
- Order various documents (i.e., appraisals, title commitments, employment verifications, homeowner’s insurance, tax transcripts as well as other documentation)
- Review and forward pertinent emails to Home Loan Specialists (HLS) and Loan Processors
- Pull FHA/VA case numbers and order appraisals via government portals
- Monitor and update lender exclusionary lists
- Initiate 3 rd party orders and assign the file to the Loan Processor Assistant correctly.
- Review application and initial documents for completion and accuracy
- Review files for regulatory compliance
- No direct communication with the borrower(s). communication is only with the HLSs and HLAs.
- Turn-time to submit the file to the Underwriting queue
- Purchase files (3 business days from disclosing date). In-house/Broker files.
- Refinance files (5 business days from disclosing date). In-house/Broker files.
- TBD files (7 business days from Disclosing date). In-house files only.
