POSITION: Administrative/Move In Assistant

POSITION SUMMARY:
The Administrative Assistant plays a key role in supporting the overall administration of the building. This position provides clerical assistance to the Executive Director and other department directors as needed. Additionally, the Administrative Assistant helps ensure a seamless transition for new residents by assisting the Sales team with various aspects of the move-in process. From the initial contact with prospective residents and their families to coordinating the move itself, this role serves as a compassionate guide, offering support and reassurance to ensure each resident feels welcomed, informed, and comfortable throughout their transition.
Requirements:
ESSENTIAL JOB FUNCTIONS:
- Supports the mission, vision, and goals of the organization, upholding and promoting company culture and vision.
- Perform general clerical duties such as photocopying, faxing, mailing, and filing.
- Schedule and gather proper information for tours and visits.
- Coordinate with various departments during the move in process (e.g., sales, marketing, maintenance) to ensure a seamless transition for residents.
- Assist residents and their families with completing necessary paperwork and documentation.
- Serve as a resource for residents, helping with navigating community resources and services.
- Assist in compliance-related tasks, such as document retention and confidentiality protocols.
- Attends training courses at community and maintains up to date monthly, quarterly, annual training through designated Learning Management System (LMS).
- Other duties as assigned, and which relate to the success of the community and the care, comfort, and happiness of our residents.
EXPERIENCE, QUALIFICATIONS & SKILLS:
- Education: High School Diploma or equivalent.
- Two (2) years’ experience in long-term care.
- Licensed Administrator (as required by state).
Must have strong understanding of the English language sufficient to read and write.

- Reach– must be able to reach on a frequent basis. May occasionally reach overhead, requiring manipulation of weight of 10 pounds or less, and below waist manipulating weight of 25 pounds or more.
