Job Responsibilities:
- Complete work order inputting, verifying the traveler report by technician, and confirming write up matches the material requisition
- Communicate with vendors and suppliers to confirm pricing, availability, and delivery schedules.
- Maintain accurate records of purchases, inventory levels, and supplier contracts.
- Assist in sourcing and evaluating new suppliers to optimize cost and quality.
- Work closely with the maintenance team to ensure necessary parts are available for scheduled repairs and servicing.
- Ensure compliance with aviation industry regulations and company procurement policies.
- Maintain updated vendor and parts databases, including pricing and lead times.
- Assist with inventory management to prevent shortages or overstocking of critical components.
- Perform data entry, filing, and document organization.
Key Responsibilities:
- Oversee day-to-day office operations and administrative functions.
- Manage office supplies, equipment, and facility maintenance.
- Handle correspondence, emails, phone calls, and document management.
- Maintain records, databases, and filing systems (electronic and physical).
- Support HR functions, including employee onboarding and record-keeping.
- Coordinate meetings, appointments, and travel arrangements for staff.
- Assist in budgeting, invoicing, and expense tracking.
- Ensure compliance with company policies and procedures.
- Liaise with vendors, suppliers, and service providers.
- Perform other administrative duties as assigned.
Qualifications & Skills:
- Proven experience as an Office Administrator, Office Manager, or similar role.
- Knowledge of aircraft parts, MRO (Maintenance, Repair, and Overhaul) operations, and FAA regulations is a plus.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
- Ability to work independently and collaboratively.
- High attention to detail and problem-solving skills.
- Ability to multitask and prioritize in a fast-paced aviation environment.
Education & Experience:
- High school diploma or equivalent required.
- 1 years of clerical or administrative experience preferred.
Work Environment:
- Full-time position in an office setting, with possible visits to the maintenance facility or warehouse.
- May require occasional overtime based on aircraft maintenance schedules and urgent part requirements.
- Requires sitting for long periods and handling repetitive tasks.
