We are seeking a highly organized and detail-oriented Project Coordinator/Secretary to join our dynamic team. The ideal candidate will play a pivotal role in managing various projects, ensuring that all tasks are completed on time and within scope. You will be answering all calls and emails from customers and the public, scheduling projects, estimates and invoicing out projects.
Duties
- Coordinate project activities and resources to ensure timely completion of objectives.
- Maintain comprehensive project documentation, including schedules, reports, and meeting notes.
- Communicate effectively with team members, stakeholders, and clients to provide updates and gather feedback.
- Utilize organizational skills to manage multiple projects simultaneously while prioritizing tasks effectively.
- Provide administrative support including scheduling meetings, preparing agendas, and taking minutes.
- Assist in customer service efforts by addressing client inquiries and providing solutions promptly.
- Utilize software tools such as QuickBooks for project budgeting and financial tracking.
- Foster a positive working environment through excellent phone etiquette and customer support.
Qualifications
- Proven experience in office management or administrative roles is preferred.
- Strong organizational skills with the ability to manage time efficiently.
- Proficiency in computer applications including project management software and Microsoft Office Suite.
- Experience with QuickBooks is a plus but not mandatory.
- Excellent customer service skills with a focus on client satisfaction.
