Position Summary : The Association Manager directs and coordinates property management and association management activities for assigned properties.
Position-Specific Responsibilities :
Ensure a thorough understanding of all properties assigned including association assessment charges, by-laws, rules, and regulations. Participate in all board meetings including, but not limited to, preparing meeting agendas and facilitating as required.
Serve as the primary point of contact for all customers and act with discretion not to discuss confidential information with customers.
Coordinate annual meetings and board elections, including, but not limited to, assisting with nominations, election ballots, proxies, absentee ballots, and the counting of ballots.
Process owner's request for architectural changes and requests.
Process assessment certificates, architectural compliance, and resale certificates.
Coordinate legal actions with Association lawyer.
Review and obtain insurance bids on behalf of the association; work with an insurance agent to ensure proper coverage.
Coordinate and supervise resident move-ins and move-outs and provide orientation for new residents; provide guidance on association rules and regulations.
Maintain resident and property files. Ensure files are complete and follow up if necessary.
Advise the Board of any law changes, enforce rules and regulations, and provide guidance on policy and procedures.
Monitor client satisfaction through interactive customer discussions and annual surveys.
Perform regularly scheduled inspections and make joint property inspections with maintenance personnel.
Ensure proper operation of building systems, maintenance, and code compliance. Conduct walk-throughs.
Ensure contractors satisfactorily perform work to specification, within quality standards, time frame, and budget requirements.
Prepare annually an operating and capital budget for the association; present the budget for approval to the Board annually; operate and manage the operations of the community to the budget in accordance with the management agreement. Provide monthly financial reporting, including variance reporting.
Manage service and maintenance contracts, assist with bid procedures, and negotiate contracts.
Create action plans for all projects behind plan and maintain organization within planning and execution.
Collaborate with the Risk Manager to investigate claims relating to accidents, vandalism, or property damage. Notify the Supervisor as necessary.
Approve property-related invoices and provide to Accounting within scheduled timeframes.
Salary : $62,000 - $72,000
