Position Summary: The Group Sales Specialist is responsible for proactive outreach to secure group reservations and ensuring seamless logistical and administrative coordination for group visits to the National Underground Railroad Freedom Center. This role focuses on enhancing the group experience, managing reservations efficiently, and supporting operational needs to maximize attendance and engagement.
Position Overview: The Group Sales Specialist is responsible for managing group sales outreach and overseeing the administrative processes related to reservations, invoicing, and the allocation of grant and sponsorship funds (when applicable). This includes coordinating school field trips, corporate and private tours, adult group visits, and guided experiences. Success in this role requires strong sales lead generation, effective cross-departmental collaboration, strong communication skills, and proficiency in administrative and computer skills, The ideal candidate is detail-oriented, highly organized, and passionate about creating meaningful guest experiences.
Responsibilities and Duties:
-Coordinate external group visits, including training sessions and orientations, to ensure a seamless experience for Freedom Center guests and museum departments.
-Proactively generate leads and cultivate relationships with potential clients, customers, and guests to drive group sales.
-Develop and implement effective sales strategies to achieve and surpass sales targets.
-Deliver exceptional customer service by responding promptly and professionally to inquiries in person, over the phone, and via email.
-Maintain up-to-date knowledge of current and upcoming museum exhibitions and programs.
-Utilize a scheduling and reservation system to accurately manage and track group sales and bookings.
-Process and collect payments for group visits, including credit card transactions, purchase orders, grants, and checks
-Ensure timely follow-up on all reservations at least two weeks before the scheduled visit.
-Generate and distribute reports to relevant internal departments for seamless coordination.
-Oversee the distribution of key resources and information pertinent to groups such as educational materials, group webpages and group newsletters.
-Collaborate closely with the Philanthropy, Education, Special Initiatives, Guest Experience, and Finance departments to support group reservation needs.
-Identify opportunities to enhance the group experience by improving booking processes, communication, ticketing systems, policies, and addressing any additional needs expressed by groups.
-Oversee and generate reports on group survey responses to assess and enhance the visitor experience.
-Participate in all assigned Freedom Center meetings, training sessions, and workshops.
-Assist and support front desk staff with point-of-sale (POS) operations as needed.
-Perform additional duties as assigned to support the overall success of group sales operations.

Qualifications and Experience:
-Proven Track record of meeting or exceeding sales targets.
-Experience in prospecting, lead generation, and closing sales deals.
-Strong customer service and relationship management skills
-Ability to work effectively in a team environment.
-Sound judgement and the ability to make independent decisions.
-Experience handling and maintain confidential data.
Knowledge, Skills, and Abilities:
-Professional appearance and demeanor.
-Ability to interact effectively with a diverse range of individuals.
-Strong interpersonal skills.-Experience with reporting, invoicing, and/or budgeting.
-Proficiency in Microsoft Office preferred.
-Familiarity with ticketing and reporting systems such as Ticketure, SQL and ReportManager.
-Excellent organizational and communication skills, with strong attention to detail.
-Self-motivated and self-disciplined with the ability to work both independently and collaboratively as part of a team.
-Ability to manage multiple tasks in a fast-paced environment, handling high workloads, competing demands, and frequent interruptions.

Working Conditions:
Fast-paced call center with sound bleed and other distractions during busy times. Possible long periods of sitting. Possible periods of merited walking throughout the building, including stairs. Must be able to lift up to 35 pounds.
