Position Overview
The Auxiliary Service Clerk provides essential administrative support within the Cincinnati Public Schools (CPS), handling complex clerical and data entry tasks for the assigned department. This role is integral to maintaining organized and accessible records, supporting department operations, and ensuring seamless communication with staff, students, and the public. The clerk demonstrates proficiency in modern office practices, information management, and professional communication, directly contributing to the efficiency and professionalism of CPS auxiliary services.
Responsibilities :
- Document Preparation and Management : Prepare, type, word process, and proofread various documents, including correspondence, agendas, and reports, ensuring accuracy and clarity.
- Data Entry and Maintenance : Enter and update data across multiple computer systems, maintaining organized and accurate digital records.
- Front-Line Communication : Answer phones, provide information, and assist CPS staff and the public, offering courteous and accurate guidance on department / school policies and procedures.
- Visitor and Inquiry Coordination : Monitor and direct calls, visitors, and correspondence, routing inquiries and complaints to appropriate personnel for resolution.
- Filing and Record-Keeping : Organize, file, and maintain documents and reports, both manually and electronically, supporting efficient record management.
- Office Equipment Operation : Utilize office equipment, including telephones, PCs, copiers, and fax machines, to support daily operations.
- Supply and Inventory Management : Order, track, and inventory departmental supplies, materials, and equipment, ensuring sufficient resources are available.
- Guidance and Support for New Employees : Provide instructions and support to new and newly transferred employees within the department.
- Backup Support : Assume the responsibilities of absent employees as needed to maintain department continuity.
- Financial Verification and Payroll Assistance : Verify available funds for departmental financial activities, compile payroll data, review time sheets, and assist in payroll maintenance as necessary.
- Compliance and Confidentiality : Adhere to CPS policies and maintain confidentiality of sensitive information, particularly regarding student and employee records.
- Additional Support Duties : Perform related administrative tasks as required, contributing to the smooth operation of the department.
