Overview
The Workforce Development Center (WDC) at Cincinnati State is the region’s leading workforce training and education center. Located at the Evendale campus, WDC supports our college mission by offering fast-paced micro-credentials and custom programming.
The Executive Assistant, Workforce Development will serve a key administrative support role in advancing the work of the WDC. This position will serve as the primary, confidential administrative support position for both the Vice President and the Senior Director of the Workforce Development Center.
The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Vice President of Workforce Development. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community-oriented.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The position will have contact with faculty, staff, students, businesses, industry, professional organizations, and community resources.
Essential Duties:
Executive & Marketing Support:
- Serve as the primary point of contact, representing the VP and WDC Senior Director in communications with internal and external stakeholders.
- Manage complex schedules, calendars, meetings, and expense reconciliation for the VP and WDC Senior Director.
Marketing & Content Management:
- Develop and manage content for Workforce Development’s social media, newsletters, web pages, and the annual catalog.
- Coordinate with Marketing on event setup, promotion, and procurement to enhance campus-wide visibility.
Administrative Coordination:
- Support administrative needs for WDC and VP’s direct reports, for example, meeting setup, e-forms, PO requests, and distribution lists. Prepare presentations, reports, and documents, ensuring accuracy, and maintain an organized filing system.
Project & Task Management:
- Manage multiple projects and conflicting priorities with proactive follow-through and attention to detail.
- Research, prioritize, and follow up on sensitive or confidential issues, determining appropriate responses and exercising discretion.
Operational Efficiency:
- Coordinate contracts, bi-weekly payroll, p-card reconciliation, and monthly financial reports to maintain accuracy and efficiency in WDC operations and employees of WDC as needed.
- Oversee onboarding for new employees, ensuring smooth setup with equipment and workspace needs.

Minimum Qualifications:
- Bachelor's degree or associate Degree with equivalent experience
- Minimum of two years' experience as an Administrative/Executive Assistant
- Strong organizational skills and exceptional attention to detail and accuracy
- Ability to maintain confidentiality of highly sensitive information
- Ability to balance workload under short deadlines and changing priorities in a fast-paced environment
- Demonstrated competency in Microsoft Office: Advanced proficiency in Outlook, Excel, Word, and PowerPoint; functional proficiency in Access
- Internet proficiency and strong oral and written communication skills
- Demonstrated ability to work independently, pay attention to detail, maintain confidentiality, and meet deadlines
Preferred Qualifications
- Bachelor's degree
- 2 years of professional experience within an institution of higher education
- 4 years' experience as an Administrative/Executive Assistant
- Social media posting and analytic experience
