The company specializes in providing a wide range of parts, including semiconductors, capacitors, connectors, and fasteners, primarily serving the defense, commercial, and space industries.

Position Overview :

We are seeking a proactive and detail-oriented professional to take ownership of key responsibilities directly reporting to senior management. This role will be pivotal in enhancing our customer satisfaction, addressing claims, and maintaining effective communication with clients and partners.

PRIMARY RESPONSIBILITIES :

  • Client and Supplier Communication

Serve as the main liaison between the company and clients, suppliers, or business partners during the inspection and quality control process.

  • Claims Management and Issue Resolution
  • Act as the primary point of contact for claims received from overseas customers.

  • Negotiation and Relationship Building
  • Collaborating with the estimator, negotiate effectively with partners and suppliers to address and resolve concerns while maintaining positive working.

  • Quality Assurance Support
  • Collaborate with the operations team to inspect and review incoming goods, ensuring compliance with quality standards.

  • Customer Service and Feedback Management
  • Follow up with customers' post-delivery to ensure satisfaction and address any concerns or returns.

    Collaborate and assist procurement and logistics team occasionally.

  • Reviewing purchase requests and creating buying duties based on requirements
  • Preparing and submitting purchase orders to manufacturers / suppliers
  • Tracking inventory levels and generating purchase orders

  • Managing distribution and shipment timeline and budget
  • Coordinating with transportation to track the movements of shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications
  • Review of purchase orders to ensure accuracy and fix shipment errors

  • Maintains good communication with management, office staff members, and outside contacts.
  • QUALIFICATIONS AND REQUIREMENTS :

  • 2 years of customer experience preferred
  • Exceptional communication and interpersonal skills and an ethical mindset
  • Detail-oriented with excellent problem-solving abilities
  • Ability to work collaboratively with internal teams and external partners
  • Experience in a flexible work environment is a plus
  • SKILLS

  • English Language skills : must be able to read, write, and speak at the business level
  • Japanese Language skills : must be able to read, write, and speak at the business level
  • Organization and Self-motivation : must be able to stay organized and self-motivated to meet company expectations and plans
  • Communication and Teamwork : Excellent communication and interpersonal skills to effectively interact with employees in a team and external partners
  • Understanding of collaboration in a fast-paced environment : as a small team, everyone collaborates and helps each other when it is needed
  • Ability to use computers and other technology for inventory and communication purposes
  • NOT NECESSARILY REQUIRED BUT PLUS :
  • Understanding the supply chain, including common obstacles and practical solutions, is a plus but not necessarily required. There will be on-the-job training and advisory on occasion.

    WORK ENVIRONMENT :

    This position is full-time on-site working.

    PHYSICAL DEMANDS :

    Work is performed in an at-home office environment and requires the ability to operate standard office equipment and keyboards and verbal communication.
