Job Summary:
The Admissions coordinator maintains direct responsibility for successful recruitment of new Individual’s and their families, to impart the history and culture of Circle City ABA to Individual’s and stakeholders and to oversee the intake process from the initial point of contact. Transition and onboarding of consumer. The coordinator is responsible for monitoring Key Performance Indicators (KPI) and assist with any program development requested by the Director of Operations.
Essential Job Functions

- Responsible for the authority, responsibility, and accountability necessary for carrying out your assigned duties, including but not limited to how, when, and where to meet with potential Individuals and their families as well as how, when and where to discuss Circle City ABA services
- Responsible for acting proactively to ensure that Circle City ABA remains a provider of choice, that all office personnel are brought into intake decisions and that ongoing multi-faceted communication occurs with all internal and external stakeholders.
- Meet with consumers face to face unless virtually is warranted, describe appropriate services with the goal of successful service delivery
- Follow the intake process through to successful onboarding of consumer
- Vet all consumers as instructed and utilizing format provided
- Recognize all service gaps and report to Director of Operations
- Provide outstanding lifetime customer service by checking in with consumers throughout intake and enrollment process and thereafter
- Market and network with physicians and diagnosticians, attend organized marketing events and meetings (when needed and warranted
- Meet or exceed all development and growth goals as well as monitor key performance indicators (KPI)
- Coordinate with Clinical Directors during client transition from services to ensure continuous enrollment at facilities.
- Assist with any program development requested by the Director of Operations.
Personnel Functions
- Responsible for assisting clinicians and operations team as needed.
- Responsible for updating and ensuring the accuracy of any database or contact list
- Responsible for answering all calls explaining services and setting appointments
- Responsible for integrating into their community with a wide range of knowledge regarding resources, competitors, therapy services and other applicable interests
- Responsible for tracking own key performance indicators as directed.
Individual Rights
- Maintain the confidentiality of all Individual information.
- Ensure all Individuals are treated fairly, kindly, and with dignity and respect.
- Report all allegations of physical, verbal, mental or sexual abuse to include involuntary seclusion, neglect or misappropriation of the Individual’s belongings or money to the appropriate supervisor.
- Honor refusal of treatment requests and contact the appropriate Clinical Director regarding said requests.
Requirements
Minimum Job Qualifications
Education: Must Possess a bachelor’s degree or equivalent experience in the field of social services
Work Experience: Must have the ability to motivate and maintain effective working relationships in all levels of the organization and to rely on experience and judgment to plan and accomplish goals. Must have critical thinking and analytical skills, proven leadership ability, the ability to multi-task and prioritize appropriately, and strong organizational and
time management skills. Must be able to tolerate high levels of stress. Must be able to resolve conflicts independently. Must have general computer skills including the ability to use MS Office.
Working Conditions: Work is primarily performed in a home office setting although some out of home meetings will be required. Driving is also required so individual must have a valid driver’s license and meet the organization’s driver insurability requirements. Must have the ability to function independently and to handle mental and emotional stress. Must be at least 18 years of age and be free from communicable diseases as evidenced by an annual negative TB test or unremarkable chest x-ray per state requirements.
