The Scheduler is a multifunctional position that is focused on the efficient scheduling of patient care services for field operations. The scheduler will support and have regular interaction with staff, patients, families, facility directors, physicians, and management. The Scheduler is expected to have exceptional attention to detail, ability to audiit and interpret data regularly. Demonstrates exemplary customer service with staff and external contacts.
Minimum of high school diploma/GED or equivalent work experience, post-high school education preferred. Prefer RMA license and minimum of 3 years prior scheduling experience where directing others in a tactful and professional manner was regularly conducted. Ability to manage multiple phone line operating system. Advanced technical/computer skills with the ability to use at least 3 or 4 different programs simultaneously. Strong work ethic with a professional, positive attitude. Creative problem-solving and decision-making skills. Ability to prioritize workload and thrive in a fast-paced environment. Excellent written and verbal communication skills. Ability to manage relationships and have crucial conversations. Effective organization and time management skills. Computer proficiency (MS Office - Word, Excel, and Outlook). Ability to keep up to date with policies, practices, and regulations.
- Coordinate care visits, prioritizing urgent patient needs.
- Direct and redirect staff appropriately using predictive analytics.
- Monitor efficiency levels and balance staffing pars appropriately.
- Track various sets of data and apply statistical information.
- Always remain calm and maintain positive relationships with staff, patients, families, and all other internal and external customers.
- Monitor utilization of resources and make recommendations to managers for new patient assignments.
- Ensure efficient utilization of staff time, reporting trends and deviations appropriately.
- Fill vacancies quickly and efficiently in various unforeseen circumstances.
- Audit staffing ratios regularly and irregularly and facilitate appropriate adjustments.
- Ensure replacements are in place for vacancies if coverage is necessary.
- Notifies patient/caregiver of schedule changes/missed visits as necessary.
- Serve as back up to other office staff including receptionist duties when needed
