The Help Desk Coordinator reports to the Presiding Judge, Court Administrator and/or the Supervisor of the district or division in which the position resides.
JOB SUMMARY AND DUTIES:
- Ensure a constant presence at the Help Desk to greet and direct individuals who enter the first floor Screening Room (Suite 1400)
- Check in all individuals seeking relief as Petitioners for Emergency Orders of Protection, Civil No Contact Orders, Stalking No Contact Orders, Firearm’s Restraining Orders, Warrants, and/or Workplace Protection Orders
- Complete data entry for check in of all Petitioners. Archive data at the end of each business day
- Distribute various handouts, packets and/or information sheets to each individual (when deemed appropriate and/or necessary and/or requested) including but not limited to the Victim Packet, Child-Related Remedies Handout, After Hours Remote Information, Legal Advocacy Helpline Sheet, Civil Process Information Sheet, Stalking Information Sheet, Zoom Information Sheet, Zoom Information Packet in Spanish, and Chicago Police Department Summons Sheet
- Direct individuals in need of additional support to the Legal Advocacy Helpline, the State’s Attorney’s Office, Resource Advocates, Ascend Justice, Litigant Services Associates, or other resources as directed
- Link individuals with legal questions or questions regarding court procedures to the appropriate venues and/or appropriate source of information while ensuring that Help Desk Personnel does not offer any legal advice or specific case strategy advice to those seeking assistance
- Answer the Help Desk phones and redirect calls to the appropriate resources
- Distribute courthouse mail to appropriate mailboxes on a daily basis.
- Refer Petitioner’s to the Children’s Room when deemed appropriate
- Participate in Office of the Chief Judge staff meetings and other meetings as required and assigned
- Assist the Court Administrator in the periodic review of Help Desk data, protocol, and procedures
- Work with the Clerk’s Office to ensure the efficient process of assistance to pro se litigants resulting in a timely access to same day hearings
- Notify the Clerk’s Office daily of the court call start, recess and closure times, including Late Duty
- Performs other duties as assigned
MINIMUM QUALIFICATIONS:
- Associate’s degree from an accredited college or university
- Ability to interact and/or associate with employees and the public in a pleasant, courteous and helpful manner
- Excellent communication and organizational skills
- Ability to be flexible and productively respond to change
- Ability to work collaboratively
- Ability to maintain calm and professional demeanor under pressure.
- Excellent computer and typing skills
- Bilingual (English and Spanish) preferred
- On a continuous basis, sit at a desk in front of a computer screen, for long periods
- Intermittently twist to reach equipment or supplies surrounding desk area
- Perform simple grasping and fine manipulation
- Strength to lift files weighing up to 20 pounds
- Use telephone and computer keyboard on a continuous daily basis
- Walk and/or use the elevators between any and all floors of the courthouse
- Available to work in person 100%
