Your role as an Service Writer - Workshop will be to provide service to our clients based on their calls and requests, handle billing, follow-ups, and gather client needs.
Your contribution to the success of the company will include the following tasks:
- Respond to clients within the timeframes set by management and ensure rigorous follow-ups.
- Open all work orders for repairs to be carried out in the workshop.
- Gather information to define repair needs, write the first C (complaint) clearly and accurately.
- Ensure that work orders are properly completed (3C: complaint, cause, correction) and that photos are attached. Verify that all items on the estimate have been completed.
- Take a deposit from clients according to company criteria for all clients without an open account and securely store credit card information for the final payment of the invoice.
- Prepare estimates (in collaboration with the parts department) and contact clients to explain the estimates and obtain approval for the work.
- Keep the client informed of the progress of the work, any deviations from the estimate, and obtain their approval for any changes to the estimate or subsequent estimates.
- Follow up on estimates within the timeframes set by management and close all estimates declined by clients, indicating the reason for the refusal.
- Collect payments from clients upon issuance of the invoice (workshop jobs).
- Close all billable client work orders (generate invoices) as soon as the work is completed, with weekly billing.
- Manage the fleet of mobile units (maintenance and repairs).
- Check recalls and manufacturer service bulletins; open work orders for manufacturer recalls, coordinate with clients, and follow up with the warranty coordinator.
- Assign all warranty and courtesy work to the Warranty Coordinator.
- At the end of the month, ensure that all work orders that can be closed have been closed.
Requirements
- Good knowledge of mechanics, hydraulics or electromechanics of automated systems.
- Significant experience in similar functions.
- Being bilingual (English – Spanish) is an asset.
- Be articulate and comfortable communicating with clients.
- Have sales skills and strong determination.
- Ability to work under pressure.
- Good writing skills and strong command of written languages.
- Be organized and detail-oriented.
- Strong customer service orientation.
- Comfortable with IT tools.
