Job Summary
The Mortgage Operations Manager is responsible for overseeing and directing the daily operations of the mortgage loan process to ensure efficiency, compliance, and exceptional customer service. This role requires management of all aspects of the secondary market mortgage department, including underwriting, and active collaboration with the mortgage sales team to meet customer needs and organizational goals.
Qualifications
- Bachelor’s degree in business, finance, or related field, or equivalent professional experience.
- Minimum of five years of experience in a Secondary Market Mortgage Department.
- Knowledge of USDA RD, FHA, VA, and Conventional loan types.
- 5 years of mortgage underwriting experience
Key Responsibilities
- Lead the mortgage operations team, providing guidance and support to processors, closers, and shippers.
- Actively engage in all operational areas as needed, providing hands-on support in processing, underwriting, and compliance. This involves stepping in during peak times, staff shortages, or when specific challenges arise to ensure a seamless operation.
- Identify and implement process improvements to enhance operational efficiency and streamline workflows, enabling the team to meet and exceed performance metrics.
- Monitor staffing needs and make recommendations for hiring and training to enhance team performance.
- Conduct performance reviews and provide ongoing coaching to team members.
Underwriting and Compliance:
- Oversee underwriting to ensure compliance with company policies and federal regulations (FNMA, FHLMC, HUD, VA, etc.) as well as investor overlays.
- Evaluate mortgage loan files, including credit reports, income documentation, and appraisals, to determine creditworthiness and adherence to guidelines.
- Facilitate regular audits and work with the compliance team to maintain regulatory standards.
Customer Service Excellence:
- Foster a culture of exceptional customer service within the mortgage operations team, ensuring all customer interactions are handled with professionalism and care.
- Address and resolve customer inquiries or issues promptly to enhance customer experience.
- Collaborate with the sales team to ensure that client expectations are met throughout the loan process.
Collaboration with Sales Team:
- Maintain close communication with the mortgage sales team to align sales strategies with operational capabilities.
- Work jointly with sales staff to gather necessary documentation and provide support in facilitating a smooth loan closing process.
- Participate in sales meetings to provide updates on operational capabilities and identify opportunities for improvement.
Knowledge, Skills, and Abilities
- Technical Proficiency: Familiarity with DU, LP, GUS, and Encompass software, proficient in MS Word, Excel, and Outlook.
- Organizational Skills: Ability to manage multiple files and prioritize tasks in a fast-paced environment.
- Communication Skills: Excellent written and verbal communication abilities are essential for effective collaboration with both customers and team members.
- Analytical Skills: Strong appraisal analysis and credit assessment skills; must possess a keen attention to detail.
Equipment Operated
Calculator, fax, copier, telephone, computer printer, and a PC with the following computer software: Encompass, Optimal Blue, Jack Henry, Appraisal Shield, Adobe Acrobat, Word and Excel.
Work Environment
Work is performed primarily at a desk. The position requires regular contact with employees and occasionally customers/vendors, both in person and on the phone. The noise level in the work environment is usually moderate.
