Under the direction of the Client Services Account Lead, the Senior Project Coordinator/Associate Project Manager will partner closely with various internal stakeholders (Account, Scientific & Medical Services, Editorial, Creative, and Finance teams) in the development and execution of client deliverables. This collaborative approach is key to our success, as it ensures that all aspects of a project are considered and that the final deliverables meet our high standards. Demonstrating project ownership, the Senior Project Coordinator/Associate Project Manager will possess and convey a comprehensive knowledge of the status and timelines for all tactics assigned to the respective internal client team. To ensure the seamless delivery of publications, multichannel medical communications tactics, market access, and related medical affairs activities, the Senior Project Coordinator/Associate Project Manager will develop and implement timelines; communicate effectively and thoughtfully with colleagues, clients, and all external stakeholders; think strategically and take a proactive approach to problem-solving; and monitor project budgets in close consultation with Client Services and Central Services to track and manage invoicing of all projects.
Responsibilities
Client Service and Project Support
- Assist in overall project coordination, helping to determine specifications before project initiation and tracking project statuses, timelines, and deliverables.
- Be responsive to client expectations and assist in timely project execution.
- Draft basic workflows and timelines, ensuring they are accurate with guidance from team members.
- Support project initiation within WorkBook and communicate with team members when the project scope/budget is approved.
- Help maintain the accuracy of status reports and assist colleagues in preparing these documents.
- Prepare materials for client meetings, such as agendas, slides, and meeting minutes.
- Maintain communication with medical writers regarding their tasks and support tracking responses to invitations, agreements, and deliverables, ensuring records are saved on the server.
- Enter and manage project details within client tracking software (e.g., iEnvision, DataVision) as needed.
- Assist with submissions to client databases for tracking purposes.
Financial Support
- Help maintain the integrity of financial documents, including tracking project budgets and invoices.
- Support the account team in drafting, submitting, and monitoring project budgets.
- Ensure accurate financial tracking for internal needs and assist in managing relevant spreadsheets.
- Aid in the creation and management of WorkBook entries, including budget updates and project expenses.
- Assist in submitting invoices and accruals consistent with internal and client procedures.
- Participate in monthly revenue meetings and track financial updates.
Qualifications
- Bachelor’s degree preferred.
- At least 1-3 years of experience in project coordination or support, preferably within a medical communications agency, publications, or a pharmaceutical company.
- Strong organizational skills with a keen attention to detail.
- Basic understanding of financial management and budgeting.
- Ability to handle multiple tasks in a fast-paced environment.
- Good communication skills, both written and verbal.
- Willingness to learn and grow within the team.
- Familiarity with industry guidelines and regulations is a plus.
- Proficient in Microsoft Office applications (Outlook, Word, PowerPoint, Excel).

The estimated salary for this position ranges from $55,000 to $85,000 per year. This is the pay range that Citrus anticipates it will pay for this position at the time of this posting.
