Job Summary
The Accounting Coordinator is a key team member of City’s Finance team and is responsible for the accurate entry of vendor invoices into the accounts payable system, preparation of customer invoices, and financial data record keeping. This role will also prepare reconciliations, including the accounts payable system to the general ledger, and support other similar activities as needed across the department.
Duties and Responsibilities
Accounts Processing
- Ensure timely and accurate entry of all vendor invoices into the accounts payable system
- Match invoices to receiving data and purchase orders
- Investigate price differences between purchase orders actual invoices received
- Obtain necessary approvals of invoices without approved purchase orders
- Provide a point of contact for vendor inquiries
- Review general ledger account distributions to ensure accurate posting to the ledger
- Maintain filing system of vendor invoices
Account Reconciliations
- Prepare monthly reconciliation of all accounts payable listings in the general ledger
- Reconcile inter-company accounts on a monthly basis
- Prepare back up bill backs to vendors and/or customers
- Prepare journal entries for necessary accruals
- Other account reconciliations as assigned.
Minimum Qualifications
- Associate’s degree, preferred
- At least 2 years of experience in accounts payable processing in a multi-location facility, preferred
- Familiarity with ERP systems, preferably Manage 2000
- Able to proficiently operate a computer with working knowledge of Microsoft Office software (Word, Excel, Access), and effectively use the Internet
- Strong oral and written communication skills
- Must be able to prioritize an assigned workload
- Works well in a team environment
