What are the responsibilities and job description for the Experienced Veterinary Client Service Representative/Receptionist position at City by the Sea Veterinary Urgent Care Practice?
- Provide friendly, quality client care to the patients and clients of CBTS Urgent Care
- Be attentive to client and patients.
- Work patiently with distressed, frustrated or disgruntled clients.
- Check email and fax periodically during shift.
- Answer and triage phone calls from clients.
- Monitor schedule and flow.
- Check in clients and patients, obtain and scan all necessary medical records into patient chart. Set up patient reminders and vaccination history. Weigh patient and load client and patient into an exam room.
- Manage record requests from other hospitals or specialty hospitals, insurance companies and online pet pharmacies.
- Process payment transactions and process refunds.
- Record daily cash totals and manage nightly deposit.
- Open and close practice.
- Assist in cleaning the hospital including but not limited to, keeping reception desk and hospital lobby clean and sanitary (wipe down counters, seating, sweep, mop, water plants, etc) taking out the trash and recycling, disinfecting the bathroom daily, exam rooms.
- Assist technicians as needed.
- Client callbacks/follow ups/reminders.
- Relay appropriate information to/from clients to/from doctors/manager/technicians.
- Knowledge of vaccines, medications, lab tests, products, prescription diets, surgical procedures, pet behavior and common diseases. Educate clients.
- Fill prescriptions and go over medication instructions with client.
- Schedule euthanasia appointments, discuss options with owner before arrival and generate treatment plan. Set up comfort room and be attentive to client and patient. Manage crematorium (Pet Meadow) pick up/delivery and record keeping of each patient euthanized in Pet Meadow binder. Send/mail sympathy cards to clients.
- Collect lab specimens from pet owners, match patient record to the sample and submit sample to lab or veterinary technician.
- Assist manager as needed in ordering, receiving, stocking and distribution of office supplies.
- Assist in training new employees/potential new hires.
- Record messages, client communications, lab results into electronic medical record/whiteboard.
Job Type: Full-time
Pay: $18.00 - $25.00 per hour
