Job Title: Grant Accountant
Location: City Care, Oklahoma City, OK
Reports to: Chief Financial Officer (CFO)
Salary: $24.04 per hour, plus benefits
Status: Full time, non-exempt
Job Summary:
The Grant Accountant is responsible for ensuring City Care’s programs maintain compliance with grant requirements, regulatory guidelines, and internal policies by managing the classification and recording of expense transactions and the maintenance of accounting records. This role provides critical support across all programs by monitoring grant expenditures and metrics, managing grant documentation, and facilitating reporting processes. The Grant Accountant will work closely with program staff, finance, development, and leadership to establish strong compliance practices from the outset of each project. The ideal candidate would have experience working with nonprofit organizations along with some grant, government contracting, or other project accounting experience.
Key Responsibilities:
- Accounts Payable/bill management
- Manage accounts payable to properly code to grants and programs
- Manage automated expense feeds to ensure proper coding to grants and programs
- Grant Compliance & Reporting:
- Set up the agency for success at the start of each grant by implementing compliance frameworks and ensuring all documentation and reporting structures are in place.
- Work with program managers, development team, and finance staff to align spending with grant guidelines and monitor expenses for allowable uses of grant funds.
- Conduct periodic reviews to ensure grant data accuracy, completion, and compliance.
- Prepare accurate and timely budget-to-actual grant spending reports and track grant expenditures against approved budgets, identifying potential overspending and corrective actions.
- Maintain internal controls to safeguard grant funds and ensure adherence to grant regulations and reporting requirements, including proper documentation and recordkeeping.
- Maintain access to program dashboards to track and report outcome data.
- Prepare and submit timely and accurate grant invoices and required reports to funders and regulatory agencies.
- Assist in the development of grant proposals by providing financial data and reports.
Qualifications:
- Experience with nonprofit accounting and strong understanding of Generally Accepted Accounting Principles (GAAP) and practices
- Familiarity with government grant management and compliance regulations
- Proficiency in QuickBooks Online and ability to utilize financial reporting tools
- Excellent attention to detail and accuracy with strong analytical and problem-solving skills
- Effective communication and organizational skills and ability to work ahead and work collaboratively across departments and maintain confidentiality.
