What are the responsibilities and job description for the Senior Court Clerk position at City of Apache Junction?
(Anticipated Hiring Range: $21.64 - $22.73/hour)
Positions assigned to this class perform advanced and complex legal and financial clerical work in support of the operations and services of the Municipal Court. May perform supervisory duties.The following is intended to describe core work functions of this classification. While the level and broad nature of essential duties may not change, specific work tasks may vary over time depending on the City’s needs.
- Prepare transcripts of municipal court proceedings for appeals to the superior court; organize case files for transmittal.
- Monitor bond processing and bond review log including but not limited to receipts, disbursements, and forfeitures.
- Assist in training staff on new and established court processes and/or procedures; analyze and develop court processes in accordance with rules, laws, and legislative changes.
- May supervise court clerks and other court employees as determined by the court administrator and presiding magistrate.
- Perform public contact work at the counter and on the phone; complete records requests and make certified copies.
- Monitor court clerks daily process and assist with court clerk duties as needed: motions/filings and notice of appearances.
- Monitor and process when necessary: Motor Vehicle Division (MVD) transmissions and Department of Public Safety (DPS) fingerprint dispositions reports, work queues, monthly bonds restitution, and overpayments.
- Update and maintain case files in case management system and review files for compliance with court dates and sentencing requirements.
- Prepare correspondence and oversee the processing of warrants which includes the notification, issuance, quashing, and reconciliation process; monitor in-custody cases and the schedule for transport and release.
- Accept and process payments; daily reconcile cash drawer, prepare daily deposits, receipts, and reconciliation reports; enter financial information into cashiering software programs.
- Maintain calendar for the court, attorneys, and the judge; coordinate jury selection; schedule Rule 11 interviews and interpreters.
- May assist in covering courtroom proceedings; prepare documents generated during court and schedule for future court dates.
- Oversee the ordering and maintenance of office supplies and equipment.
- Attend onsite and virtual training assigned by the direct supervisor.
- Process court-related audio recording requests; analyze and assist in implementing form changes requested.
- Troubleshoot and assist with hardware and software issues that may arise; assist with the implementation of new software and equipment.
- Assist with annual budget preparation.
- May be appointed to serve as a hearing officer.
- Assist front counter staff with challenging situations and addressing customer complaints.
- Perform other duties as assigned.
- Support the City’s policies, goals, and objectives and work with management and other staff to ethically achieve such goals and objectives; ensure compliance with safety procedures.
Must possess a high school diploma or GED, and two (2) years of paid full-time court clerk experience.
Preferred experience: Arizona Supreme Court Leadership Program; Arizona Court Supervisor (ACS) Certification.Knowledge
- City and department procedures, policies and guidelines; Arizona Revised Statutes; general process of court proceedings.
- Procedures of a municipal court as it relates to the processing and retention of records.
- Basic bookkeeping practices and procedures, analytical skills, pertinent laws.

- Establishing and maintaining cooperative working relationships with vendors, coworkers and other individuals in contact during the course of work; communicating clearly and concisely.
- Operating a personal computer utilizing standard software such as Microsoft Office and some specialized software; functioning standard office equipment; proficient typing and data entry; accurate cash handling and money management.
- Assessing and prioritizing multiple tasks and demands; maintaining composure and working effectively under stress; meeting deadlines.
- Working under little or no supervision for extended lengths of time.
Pre-employment Requirements
Candidates who are selected for appointment may be required to be fingerprinted, if 18 or older; successfully complete a background investigation, employment verification and may be subject to a drug/alcohol test, medical, polygraph and/or psychological evaluation. Candidates who are appointed will be required to possess a valid driver’s license to operate a vehicle in Arizona, or meet the transportation needs of the position.
Physical Demands and Working Environment
Work is performed in a standard office environment. May require frequent sitting and continuous operation of a personal computer. May be required to perform a full range of motion with lifting and/or carrying items weighing up to 25 pounds.
