Description

This position, under minimal supervision, is responsible for performing administrative functions for the Finance Director and City Treasurer; coordinate and participate in office support and provide information and assist in daily tasks. Backup for the Municipal Court Clerk as the Deputy Court Clerk performing duties on a daily basis and fill-in for Court Clerks when absent. This position will also be cross trained for Accounts Receivable and Accounts Payable.

Duties

Essential Functions and Duties :

DAILY DUTIES

  • Responsible for providing courteous and efficient customer service and related request for information
  • Record docket comments, disposition, pleas, and other information in court records and print final dockets
  • Conduct data entry for Department of Public Safety; suspension / unsuspension of driver license
  • Performs accurate cash collections for fines, fees, court costs, manually enter Oklahoma Tax Commission and Invoice Cloud payments, issue refunds, and update payment log spreadsheets. Reconcile daily payments and balance cash drawer and report any discrepancies.
  • Import Digi Tickets to Incode, verify successful import, manually enter Code Enforcement and Animal Control tickets, print and file for future court dates, data entry of any manually written citations and complaints
  • Maintain paper and electronic filing systems for records, correspondence and other court related records
  • Maintain receipts, verify deposits, and enter Court daily cash collection entries into spreadsheets
  • Monitor and distribute OG&E and ONG billings for payment to various departments
  • Maintain confidentiality regarding any restricted sensitive personal information, workers compensation claims, or payroll information
  • Assist in a variety of department operations, perform any other related duties or special projects as required or assigned
  • Maintain a working knowledge of and follow the City's Purchasing Policy.
  • Perform any other related duties as required or assigned.

WEEKLY DUTIES

  • Prepare and recall warrants for Judges' signatures
  • Prepare failure to appear warrant report and upload to collection service
  • Review unpaid tickets and payment plans and issue cost hearing summons for future cost hearing docket when necessary
  • Notify defendants in writing of cost hearings, failure to appear warrants, and other court issues
  • BI-WEEKLY DUTIES

  • Process payroll deduction payments, federal and state tax payments, and wire payments
  • MONTHLY DUTIES

  • Issue Digi Ticket and Incode reports on statistical data for police administration
  • Balance Court Report and prepare reports, journal entries, and issue payments for City of Ardmore, Cleet, OSBI, OBN, collection service, etc.
  • OCCASSIONAL DUTIES

  • Gather and provide supporting documentation for auditor's request
  • Follow direction of the Court Clerk of duties assigned and provide backup in their absence
  • BACKUP FUNCTIONS :

  • Provide backup for preparing monthly reports for various agencies including police department, OSBI, Explore Information Services, Choctaw Gaming, Data Driven, Transunion, Lexis Nexus, Post Hire, etc.
  • Assign trial dates, issue subpoenas, and summons dates
  • Receive orders-FedEx, UPS, USPS, etc.

  • High School Diploma or Equivalency Degree
  • Bookkeeping experience
  • Certificates and Licenses :

  • Valid driver's license
  • Knowledge and Skills :

  • Intermediate : 10-Key, Excel Spreadsheet
  • Basic : Accounting, Alphanumeric Data Entry, Typing
