Performs difficult skilled clerical work assisting an executive with a variety of office assistance and administrative tasks; does related work as required. Work is performed under general supervision.
This is a non-exempt, full-time position with a pay rate between $16.865-$19.081 per hour. The City of Bartow provides to you: health insurance, life insurance, short-term disability insurance, and pension with only 4% employee match. - Receiving, screening, and processing telephone calls and serving as receptionist for department; scheduling appointments; handling complaints; assisting the public; word processing and data processing duties; maintaining records and files; preparing reports.
- Receives calls and callers for the department and ascertains nature of business, directs to appropriate authority for disposition.
- Maintains complex and detailed files and records; maintains data base; prepares brochures, fliers, etc.
- Transcribes correspondence; composes routine correspondence; types a variety of complex reports and materials.
- Answers questions and responds to inquiries or complaints on department and/or operations, policies, and procedures; maintains calendar; schedules appointments; prepares office forms; orders office supplies.
- Maintains employee records; reviews records for accuracy; maintains files; maintains and prepares payroll records for department; purchases supplies and equipment for department; processes payroll.
- Undertakes special projects as assigned by supervisor.
- Maintains a variety of operational, bookkeeping, budget, and program records.
- Processes bills for service; ensures accuracy of bills.
- Receives processes and enters a variety of information into computer system for internal departmental reporting.
- Checks and reviews a variety of data for accuracy, completeness, and conformance to established standards and procedures.
- Initiates and completes daily work orders for completion of assignments for department.
- Performs related tasks as required.

- Thorough knowledge of standard office practices, procedures, equipment, and office assistance techniques.
- Thorough knowledge of business English, spelling, and arithmetic.
- Thorough knowledge of the organization and functions of the department and of general administrative policies and practices.
- Ability to keep office records and to prepare accurate reports from file sources.
- Ability to perform and organize work independently.
- Ability to type and transcribe dictation at a reasonable rate of speed.
- Ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor.
- Skill in operation of personal computer equipment and related office software.
- Ability to establish and maintain effective working relationships with associates and the public.
Required Education, Training and Experience:
- Any combination of education and experience equivalent to graduation from high school
- Two (2) years of office assistance experience
- Any combination of education and experience equivalent to graduation from high school
- Two (2) years of office assistance experience
- May require possession of an appropriate driver’s license valid in the State of Florida.
