Job Title: Records Clerk (part-time)

Department: City Manager

FLSA Classification: Non-Exempt

Salary: Classification N6

Hourly Pay Range: Step 1 $17.52 – Step 15 $24.75

Hours: Part-time; Monday through Friday, occasional Tuesday evening; not to exceed 19 hours per week.

Location: Bel Aire City Hall

Reports to: City Clerk

Supervisory Responsibilities: None

Purpose of the Position

Under the general direction of the City Clerk, assists and performs a variety of secretarial duties. Maintain and preserve all official city records and serve in the absence of the City Clerk.

The City Clerk’s office is responsible for agenda and packet preparation and minutes of the City Council; records request and record retention; filing ordinances, resolutions, and other documents as required by state statutes.

Key Responsibilities & Duties

· Serves as Deputy City Clerk.

· Assists with daily office operations including processing correspondence and emails, data entry, and computer tasks.

· Maintain, catalogue, research and manage physical and electronic city records, public documents, files, books and documents according to adopted record retention procedures.

· Assists with creating and distributing Council Meeting packets.

· Performs certification and recording for the City as required on legal documents and other records requiring such certification.

· Under direction of city clerk, maintain community notices, agendas, and minutes for community boards/committees/commissions.

Peripheral Duties

· Assists and cooperates with other departments as needed.

· Attend seminars and other workshops related to City Clerk duties.

· Electronic filing of City records.

· Notary public for city documents

· May administers oath of office to public officials and employees.

· Performs other related duties as deemed necessary or assigned.

Experience & Education

Any combination of education and experience equivalent to graduation from high school, one to two years of college level course work or advanced training in business or office procedures, plus two years’ experience in secretarial work. Experience in municipal, legal, or record keeping is a plus.

Knowledge, Skills, & Abilities

· Communicate effectively both verbally and in writing.

· Establish and maintain effective working relationships with colleagues.

· Ability to multitask and work independently with drive and initiative.

· Prioritize daily work assignments and perform daily duties in an efficient manner.

· Knowledge of Microsoft Office Products.

· Working knowledge of computers, electronic data processing, and modern office practices and procedures.

· Ability to engage with city officials and the public in a respectful and courteous manner.
