RECEPTIONIST’s role within the big picture of the City’s overall success:
Serves as the first point of contact for City Hall, greeting visitors, answering calls, and providing exceptional customer service to the public and staff. Supports the City’s commitment to responsive and transparent government services by ensuring that all visitors and callers receive accurate information and assistance.
RECEPTIONIST functions include but are not limited to the following:
- Customer Service and Public Contact:
- Greet all visitors to City Hall in a courteous, professional manner and direct them to appropriate departments or personnel.
- Serve as the primary point of contact for incoming telephone calls, responding to general inquiries and forwarding calls to appropriate staff.
- Provide accurate information regarding city services, programs, and events to residents and visitors.
- Maintain a welcoming and professional appearance of the reception area and lobby.
- Administrative Duties:
- Manage incoming and outgoing mail and package deliveries for City Hall.
- Manage the postage machine, keeping balances and running postage reports as needed.
- Maintain appointment calendars, schedule meetings, and coordinate use of conference rooms.
- Assist with data entry, filing, and organizing documents as needed.
- Support staff with copying, scanning, and preparation of materials for meetings and events.
- Communication and Coordination:
- Communicate effectively with other city departments to ensure seamless service delivery.
- Document and relay messages and concerns to appropriate departments in a timely manner.
- Maintain confidentiality in handling sensitive information and communications.
- Recordkeeping and Reporting:
- Maintain visitor logs and ensure sign-in procedures are followed.
- Prepare daily, weekly or monthly activity reports as requested by supervisor.
- Support the collection and reporting of customer service data, including tracking inquiries and responses.
- Team Contribution:
- Participate in city-wide initiatives, events, and emergency drills as required.
- Perform other related duties as assigned to contribute to the efficient operation of City Hall.
- Contribute to the team effort by performing other related duties as assigned.
Qualifications
Education and Experience – An equivalent combination of education, training and experience will be considered.
Education: High School Diploma or GED
Experience: 1-3 years of previous relevant work experience is required.
Supervisory: No previous supervisory experience is required.

Salary : $16 - $19
