General Purpose of the Position: The Community services and Code Compliance Coordinator is responsible for providing clerical and administrative support to the Code Enforcement division. The role involves managing and processing code enforcement documentation, answering customer inquiries, and maintaining accurate records of code violations and inspections. The Coordinator ensures that the division operates efficiently and that all procedures comply with local, state, and federal regulations. The Coordinator is administrative support staff for the Code Enforcement Special Magistrate.
Essential Duties and Responsibilities:
· Assist in the daily operations of the Code Enforcement division by preparing, processing, and filing documents related to code violations, notices, and compliance orders.
· Input and update data in the division’s software system, ensuring all information is accurate and current.
· Receive complaints and inquiries from the general public and distribute investigations accordingly.
· Aid on preparing case reports and researching property history.
· Coordinate with staff to ensure timely follow-up on violations and compliance issues.
· Prepare and distribute correspondence related to code enforcement activities, including letters, notices, and orders.
· Schedule hearings and prepare agenda for Special Magistrate hearings.
Records audio at hearings, creates and maintains written minutes of hearings.
· Work closely with the Police and Fire Departments, as well as other departments and outside organizations and agencies.
Skills and Physical Abilities Required:
· Knowledge of Florida Building Code, City Code of Ordinances, local land use and development regulations, and functions of all City boards.
· Advanced understanding of legal principles and procedures.
· Must understand law enforcement procedures.
· Must have advanced knowledge of Microsoft Office Suite.
· Must be able to use the MUNIS and Accela Permit Tracking System.
· Must have excellent organizational, written and verbal communication skills, and be able to deal effectively with the public.
· Must be able to effectively resolve conflicts and maintain composure under pressure.
· Ability to effectively multi-task.
· Must be team-oriented and self motivated.
· Light to medium lifting required.
· May be required to sit or stand for extended periods of time.
· Works indoors mostly in an office environment.
Computer Equipment and Software Requirements: Computer hardware and software programs, telephone, copy machine, fax machine, calculator, scales, maps, and other office equipment.
Education and Experience Required: High school diploma or GED equivalent. Possession of and ability to maintain a valid Florida driver’s license.
Preferred: Associate’s Degree in Business, Criminal Justice, or Paralegal experience.
