Position Summary
The City of Bridgeport is seeking a qualified, organized, and service-oriented individual to fill the role of Administrative Assistant within the Bridgeport Police Department. This vital position serves as the primary administrative support for the department, handling a wide range of clerical, financial, and public-facing duties. The successful candidate will play a key role in ensuring efficient departmental operations and maintaining excellent public relations.
Primary Responsibilities
- Serve as the first point of contact for the public conducting police business.
- Perform general clerical tasks including word processing, scanning, faxing, emailing, filing, and routing mail and packages.
- File, retrieve, and distribute police reports and related documentation.
- Handle non-emergency telephone inquiries and redirect them to appropriate dispatch.
- Collect and process debts, issue and track default letters, and manage payment plans and collections.
- Conduct and log background checks and maintain appropriate record retention.
- Manage front-office organization including all paperwork and filing systems.
- Redact documents for public release in compliance with department policy.
- Perform financial duties such as verifying records, accepting and processing various forms of payment (cash, check, debit, money order) for citations and court payments.
- Balance and reconcile the cash drawer at the beginning and end of day; input payments into the municipal court system and generate reports for the court clerks and finance department.
- Provide notary services as needed.
- Engage with the community through events such as National Night Out and Light Up Night.
- Handle after-hours voice mail responses.
- Utilize Central Square for records and data retention.
- Conduct NCIC validation research and submissions through the LEEP system via WV State Police.
- Review and distribute court disposition reports to WV State Police.
- Submit NIBRS data using IBASE.
- Cross-train in municipal court operations and participate in court-specific training.
Preferred Qualifications
- Strong written and verbal communication skills.
- Proven data entry accuracy and efficiency.
- Proficiency in Microsoft Word and Excel.
- Ability to maintain confidentiality and demonstrate discretion with sensitive information.
- Highly organized and capable of multitasking in a fast-paced environment.
- Prior experience in administrative, law enforcement, or municipal settings is preferred.
- Notary Public certification (or willingness to obtain) is a plus.
