The Burlington Public Library is accepting applications for a part-time Administrative Assistant. Tasks would include administrative record-keeping and electronic bookkeeping, generating and managing digital reports from library management software, providing secretarial support for the library management, providing excellent customer service for library visitors, and providing general assistance throughout the library.
Burlington Public Library is located in southeastern Wisconsin, with a municipal population of 11,000 and a service population of 19,500. We are a member of the SHARE Library Consortium, serving Racine, Walworth, Kenosha, and Rock Counties.
Qualifications: High School Diploma/GED required; computer and technology experience required; customer service experience required; experience in libraries desired.
Compensation: Starting wage is $19.84 per hour.
Hours: This position works an average of 19 hours per week, typically weekday mornings, with occasional evening or weekend hours as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Performs routine clerical and administrative work in answering phones, inquiries from website forms, photocopying, cashiering, data processing, records management and light bookkeeping.
· Composes, types and edits a variety of correspondence, reports, and other material requiring judgement as to content, accuracy and completeness.
· Assists in writing and recording policies and procedures.
· Receives, stamps and distributes incoming mail and processes outgoing mail.
· Counts, records and balances daily cash receipts; prepares deposits for the City Clerk’s office. Maintains library petty cash. Records and balances Trust funds.
· Checks and verifies invoices and prepares listings for payment of invoices according to proper library account categories. Maintains file of paid invoices and support documentation for annual audit review.
· Maintains inventories and order library materials and supplies as authorized by the Library Director.
· Assists with Library book sale, including with collection, recording and depositing of money.
· Maintains filing system using independent judgement.
· Interprets, analyzes, organizes and prioritizes work effectively and efficiently.
· Coordinate and document Library volunteer activities as directed.
· Updates Library statistical spreadsheet.
· Assists with processing and cataloging new acquisitions for circulation.
· Assists with management of donated items.
· Assists with circulation duties and shelving duties, as requested. Performs other duties as assigned.
DESIRED MINIMUM QUALIFICATIONS:
Education and Experience:
- High School Diploma or equivalent.
- Typing and general office experience preferred.
- Bookkeeping and accounting experience preferred.
Necessary Knowledge, Skills, and Abilities:
- Ability to maintain and hold in confidence information relating to functions of the Burlington Public Library.
- Ability to perform routine office and clerical tasks with minimum supervision.
- Ability to type 50 words per minute, develop skill and utilize word processing and financial spreadsheet programs.
- Excellent level of English oral and written skills.
- Skill in filing and working knowledge of generally accepted bookkeeping and basic accounting practices and procedures.
- Ability to develop a working understanding of current library record keeping and filing system.
- Ability to keep accurate records and to accurately follow procedures.
SPECIAL REQUIREMENTS:
· Possession of a valid Wisconsin Driver’s license is required.
· Flexibility with hours; regular evening, weekend, and holiday hours.
