Overview
We are seeking a dedicated and organized Office Specialist to join our team. The Office Specialist performs a wide variety of professional administrative, technical, and clerical support functions. This role ensures seamless daily operations across multiple City departments, offering high-quality customer service, managing confidential records, and executing special projects to enhance city services. The position requires a high degree of discretion, flexibility, and the ability to work independently within established policies and procedures. Work involves considerable contact with the public and does require some night meeting attendance.
Duties
- Perform clerical duties such as filing, data entry, and maintaining organized records.
- Act as the first point of contact at the front desk, greeting visitors and answering inquiries professionally.
- Utilize Microsoft software for document creation, spreadsheets, and presentations to support various projects.
- Assist with public records requests in accordance with Oregon Public Records Law.
- Perform complex clerical work such as proofreading, composing correspondence, and maintaining both physical and digital filing systems.
- Collaborate with team members to improve office processes and enhance productivity.
Skills
- Strong office management experience with a focus on organization and efficiency.
- High attention to detail in data entry, filing, and document creation.
- Proficient in Microsoft Office Suite, records management systems and web editing tools.
- Exceptional organizational and multitasking skills with the ability to prioritize under pressure.
- Strong knowledge of business English, spelling, grammar, and mathematics.
- Strong communication skills to interact positively with clients and colleagues at the front desk.
