The Position

JOB SUMMARY

The Cedar Park Public Library is committed to empowering everyone in the community to learn, create and have fun, including our staff! Join our Administrative Team in supporting the amazing services and spaces that make our New Library such a popular community destination.

A successful candidate for the Library's Administrative Assistant will be passionate about public service, motivated to achieve the best for our staff and customers, dedicated to communicating effectively with a wide range of people, and excited to learn and grow with our Library team. This position performs technical clerical duties of the Library department; carries out delegated administrative duties; responsible for correspondence and maintaining databases; monitors budget; and codes and processes invoices and assists in various office duties.

  • Provides high-level administrative and clerical support to the assigned Department Head or Director, or other departmental employees as assigned, which may include maintaining calendars, coordinating travel arrangements, scheduling and preparing for meetings, running errands;
  • Manages reservation system of Library's meeting rooms; provides information on facilities and fees, coordinates reservations and handles fees and refund requests;
  • Performs administrative activities related to operation of the Library;
  • Assists with maintenance of Library buildings, grounds, and related property, including coordinating with Facilities Maintenance, janitorial staff, and facilities vendors;
  • Accepts and processes incoming mail and oversees the distribution of outgoing mail;
  • Receives and pays invoices for department purchases including creating purchase orders, processing employee expense reports and recording credit card use, and reconciling credit card statements;
  • Handles cash and cash equivalents; balances, reconciles and records cash receipts; and deposits all monies received by the department, as assigned;
  • Prepares correspondence in accordance with known procedures; sets up and maintains filing systems for various functions within the Library;
  • Provides information to other staff members, City employees, state and federal agencies and community organizations, as necessary Attends and documents department-related meetings or conferences, and assists in the set-up and preparation for such meetings or conferences, as assigned;
  • Receives, assists or directs telephone calls or visitors, as necessary;
  • Assists in department budget preparation, monitors expenditures and produces revenue and expenditure reports as needed;
  • Maintains various record retention files and logs and coordinates destruction according to State of Texas guidelines;
  • Coordinates all training, conferences and / or travel arrangements, prepares per-diems, travel advances and claims;
  • Conducts research, compiles information, and prepares presentation manuals, reports, graphs, charts, and publications as assigned;
  • Drafts and / or processes routine and special correspondence, including mass mailings, and correspondence requiring tracking and signatures for legal purposes;
  • Assists with meetings / functions related to department associated activities when needed, including evenings and / or weekends;
  • Orders and maintains necessary inventory of office supplies for all personnel;
  • Performs both assigned and independent staff work;

  • Acceptable Experience, Training, Certifications and Licenses

    MINIMUM REQUIREMENTS

    High school graduation, or GED, plus at least one year of experience as an administrative assistant or secretary performing similar required duties; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities. Accounting experience preferred.

    Knowledge, Skills and Abilities :

    Knowledge : budgetary and basic bookkeeping techniques; municipal library administration and organization; standard office procedures; correct business English, spelling and punctuation and data collection methods and techniques.

    Skill / Ability : demonstrate proficiency in both oral and written communication; operate personal computer using standard word processing, spreadsheet and database software; organize facts and present them in a clearly written or graphic form; deliver quality customer service; communicate reservation policies, fees and use patterns to aid public in using yet preserving city facilities; interpret and develop ordinances and resolutions; establish and maintain effective working relationships with co-workers, the general public, Library Foundation, Friends of the Library, outside agencies and vendors.

    Other : Works closely with City departments, co-workers, general public, and representatives of various organizations and agencies.
